Role: Junior Procurement Specialist

The Junior Procurement Specialist will support procurement operations, vendor administration, and stakeholder requests while building strong working relationships with internal teams and suppliers.

This role is suited to someone who is organized, detail-oriented, service-focused, and keen to grow their procurement capability in sourcing, vendor management, purchase order processing, and compliance.

 Key responsibilities

  • Support vendor quote collection and price comparisons to help the team make sound purchasing decisions.

  • Assist with sourcing activities and help obtain competitive bids in line with MiQ procurement guidelines.

  • Process purchase requisitions into purchase orders accurately and within agreed service levels.

  • Coordinate with stakeholders to resolve routine procurement queries and provide timely updates on request status.

  • Track order progress and follow up with suppliers to help ensure timely delivery of goods and services.

  • Support purchase order amendments, top-ups, and closures based on approved business requests.

  • Review invoices and supporting documents for accuracy before sharing with Finance for payment processing.

  • Help maintain accurate receipt and accrual information by coordinating with stakeholders and Finance.

  • Maintain vendor master data, including bank details, address records, and supporting documentation, with a high degree of accuracy.

  • Follow up with suppliers by email or phone to collect, validate, or refresh vendor information and documents.

  • Support supplier onboarding and amendment requests in line with procurement, compliance, and approval requirements.

  • Help maintain procurement trackers, logs, SOPs, and audit-ready documentation for controls and compliance purposes.

  • Escalate exceptions, missing documentation, policy gaps, and out-of-budget requests to the appropriate team members.

  • Support the procurement team with contract documentation, templates, and coordination with Legal where required.

  • Provide a high standard of customer service while learning to advise stakeholders on procurement processes and vendor master requirements.

What you’ll bring

  • 1–3 years of experience in procurement operations, purchasing, sourcing support, accounts payable coordination, or vendor administration.

  • Good understanding of procurement processes, purchase requisitions, purchase orders, and supplier documentation requirements.

  • Strong attention to detail and accuracy in handling vendor records, quotations, invoices, and procurement documentation.

  • Basic understanding of vendor compliance, due diligence, and record maintenance for suppliers.

  • Good analytical and problem-solving skills, with the ability to compare options and identify issues early.

  • Clear verbal and written communication skills, with confidence working across internal stakeholders and suppliers.

  • Ability to manage multiple tasks, work to deadlines, and maintain a strong service mindset.

  • Good organizational skills and willingness to learn procurement systems, controls, and processes.

  • Proficiency in Microsoft Excel and comfort working with ERP or procurement systems such as Workday, Oracle, or Ariba.

  • Qualification: Any Graduate – Any Specialization.
