Job Description - Remote Xactimate Estimator & Claims Coordinator (Mitigation, Contents & Reconstruction)

Job Summary

We are a US-based property restoration contractor looking for a highly detailed, proactive, and experienced Remote Xactimate Estimator & Claims Coordinator based in India. In this role, you will be responsible for creating precise Xactimate estimates for Water/Fire/Mold Mitigation, Pack-Out/Contents, and Structural Reconstruction claims. You will also manage end-to-end communication and follow-ups with insurance adjusters and property owners to secure estimate approvals and timely invoice payments.

Key Responsibilities

1. Estimating & Sketching

Xactimate Line Items: Write accurate, detailed, and defensible Xactimate estimates for Mitigation (water extraction, drying equipment, containment, mold remediation), Contents (pack-outs, cleaning, inventorying), and Reconstruction (framing, drywall, paint, flooring, trades).

Lidar Floor Plans: Convert 3D LiDAR scans, photos, field scope sheets, and floor plans into clean Xactimate room sketches (including sloped ceilings, openings, and cabinet structures).

Pricing & Price List Updates: Apply correct regional price lists, labor minimums, equipment pricing, and line-item components.

Supplements: Draft detailed supplemental scopes when hidden damage or scope changes occur on site.

2. Claims Coordination & Adjuster Management

Estimate Approvals: Submit completed estimates to insurance adjusters via email or carrier portals and aggressively follow up to obtain scope agreement.

Negotiation & Justification: Defend line items, equipment counts, drying logs, and code-compliance requirements to adjusters.

Payment Tracking: Follow up weekly with insurance carriers to ensure check issuance, mortgage endorsements, and claim payouts.

3. Customer Communication & Accounts Receivable

Client Touchpoints: Communicate professionally with homeowners to keep them updated on scope submissions, adjuster approval status, and deductible payments.

Collections: Follow up politely but firmly with property owners for final invoice payments and self-pay balances.

Scope Clarifications: Explain scope limitations, content cleaning protocols, and insurance deductible responsibilities to customers.

Required Qualifications & Skills

Xactimate Proficiency: Minimum 2+ years of hands-on experience drafting Xactimate estimates (Level 1 or Level 2 certification is a strong plus).

Industry Knowledge: Solid understanding of IICRC S500/S520 guidelines, water mitigation equipment ratios (dehumidifiers, air movers, HEPA scrubbers), and general residential construction trades.

Sketching Experience: Demonstrated ability to translate Lidar 3D models and point-cloud scans into accurate 2D/3D Xactimate sketches.

Exceptional English Communication: Fluent written and spoken English. Must be comfortable making outbound calls to US insurance adjusters and customers via VoIP (RingCentral, OpenPhone, etc.).

Financial & Claims Savvy: Understanding of O&P (Overhead & Profit), line-item justifications, depreciation, and carrier payment workflows.

Technical Setup: High-speed internet connection, quiet work environment, active Xactimate license (or willingness to use company seat), and a reliable computer capable of running 3D modeling/rendering software.

Preferred / Nice-to-Have

Experience with restoration management platforms (e.g., Dash).

Experience handling contents/pack-out inventory software.
