Job Description - Senior Specialist Administration & Facilities (Technical)

Job Description:

Key Responsibilities 

Technical Facilities Management 

  • Oversee maintenance of HVAC systems, PACs, electrical panels, UPS systems, backup generators, fire detection and suppression systems, CCTV, PA, etc. 

  • Ensure 100% adherence to Planned Preventive Maintenance (PPM) schedules for all equipment. 

  • Troubleshoot breakdowns and conduct root cause analysis (RCA) with corrective and preventive action plans. 

  • Monitor utility consumption and implement energy optimization initiatives. 

  • Supervise facility repairs, minor projects, upgrades and technical site works. 

  • Maintain technical logs, maintenance reports, and inspection documentation. 

Administration & Workplace Operations 

  • Manage day-to-day administrative functions including repairs & maintenance coordination. 

  • Handle employee facility-related concerns and ensure timely resolution. 

  • Coordinate with the Building Management Team and Security for compliance and fire drills. 

  • Support client visits, audits, leadership visits, and internal events. 

  • Ensure compliance with company policies, statutory norms, and safety regulations. 

Vendor, AMC & Contract Management 

  • Manage AMC/CAMC contracts, defect liability period tracking, and renewals. 

  • Negotiate vendor contracts ensuring cost efficiency and quality standards. 

  • Monitor SLAs and conduct periodic vendor performance reviews. 

  • Coordinate procurement of spares, tools, consumables, and facility services. 

  • Maintain inventory control and optimal utilization of resources. 

Asset, Compliance & Reporting 

  • Maintain asset registers, AMC trackers, and compliance documentation. 

  • Ensure readiness for audits, statutory inspections, and safety reviews. 

  • Prepare daily, weekly, and monthly MIS reports for management review. 

  • E-waste & H- Waste disposal 

People Management 

  • Hire, train, and manage facility supervisors, shift engineers, and maintenance staff. 

  • Drive team performance, discipline, and skill development. 

  • Coordinate with IT, Engineering, Security, and internal stakeholders. 

Key Skills & Competencies 

  • Strong knowledge of electrical, HVAC, fire, and utility systems. 

  • Excellent administrative and vendor management capabilities. 

  • High ownership with a proactive problem-solving approach. 

  • Strong communication and stakeholder management skills. 

  • Proficiency in Microsoft Excel, PowerPoint, and Word.
