Job Description
Position: Tender Executive
We are looking for a detail-driven and execution-focused Tendering Executive to manage the end-to-end tender lifecycle—from opportunity identification to bid submission and post-bid support. The role requires strong ownership, discipline in documentation, and the ability to work across internal teams to deliver accurate, compliant, and timely bids, primarily for government and PSU projects.
This position is critical to maintaining a high bid-success ratio while ensuring process integrity and audit readiness.
Key Responsibilities
1. Tender Identification & Shortlisting
- Monitor and track tenders from government portals, PSU platforms, and industry sources.
- Filter and shortlist tenders aligned with company capabilities, commercial viability, and strategic objectives.
- Prepare preliminary summaries for Go/No-Go discussions.
2. Bid Preparation & Submission
- Review tender documents, BOQs, eligibility criteria, and technical specifications in detail.
- Prepare and compile complete bid documents (technical, commercial, and statutory) as per tender requirements.
- Ensure submissions are error-free, compliant, and within timelines.
3. Internal Coordination
- Coordinate with Engineering, Finance, Legal, Procurement, and Management teams to collect required inputs.
- Track dependencies and follow up to close gaps well before submission deadlines.
- Maintain a single source of truth for bid-related data.
4. Documentation & Data Management
- Maintain structured records of tenders, submissions, amendments, corrigendum, and outcomes.
- Organize historical bids, templates, certificates, and compliance documents for reuse and audits.
- Ensure version control and traceability of documents.
5. Compliance & Quality Control
- Verify eligibility, statutory compliances, formats, and declarations before submission.
- Conduct internal quality checks to reduce rejection risk and technical disqualifications.
6. Market & Competitive Analysis
- Track competitor behavior, pricing patterns, and bid trends.
- Support management with data-backed insights for bid strategy and positioning.
7. Post-Bid & Contract Support
- Assist in post-bid clarifications, negotiations, and LOA processing.
- Support contract review with Legal and Management to flag commercial and risk issues.
8. External Interface
- Attend pre-bid meetings, site visits, and bidder conferences as required.
- Coordinate with tendering authorities for clarifications and submissions.
Qualifications & Experience
- Bachelor’s degree in Engineering, Commerce, Business Administration, or related field.
- Proven experience (2–5 years) in tendering, bid management, or government procurement.
- Hands-on experience with government/PSU tenders is strongly preferred.
- Clear understanding of tendering procedures, eligibility norms, and contract structures.
Skills & Competencies
- High attention to detail and strong document discipline.
- Ability to work under tight deadlines with multiple parallel bids.
- Strong analytical skills for eligibility, risk, and compliance checks.
- Clear written and verbal communication skills.
- Proficiency in MS Office and familiarity with tender portals and bid tools.
- Strong ownership mindset with ability to work independently and cross-functionally.
