Head of Fund Administration

Role Overview

We are seeking an experienced Head of Fund Administration to lead our fund administration operations in Malaysia. The role will have overall responsibility for the delivery, control and continuous improvement of Fund Accounting and Transfer Agency / Investor Services. This is a leadership position requiring a combination of technical fund administration expertise, operational leadership, client management and people leadership.

Key Responsibilities

Fund Accounting

• Provide overall leadership and oversight of the Fund Accounting function.


• Oversee accurate and timely calculation and delivery of NAVs in accordance with fund documentation, valuation policies and agreed SLAs.


• Oversee daily/weekly/monthly NAV processes, including pricing, accruals, expenses, income, corporate actions and reconciliations.


• Ensure appropriate review and resolution of NAV breaks, pricing exceptions and accounting issues.


• Oversee management and performance fee calculations where applicable.


• Oversee accurate preparation of fund financial statements and regulatory reporting.


• Ensure appropriate escalation and resolution of operational and accounting issues.


• Maintain robust operational controls and ensure adherence to procedures and policies.

Transfer Agency & Investor Services

• Provide overall leadership and oversight of the Transfer Agency & Investor Services function.


• Oversee the processing of subscriptions, redemptions, transfers and distributions.


• Ensure accurate maintenance of investor registers and investor records.


• Oversee investor onboarding and ongoing KYC/AML requirements.


• Ensure compliance with FATCA, CRS and other applicable investor reporting requirements.


• Manage investor and client escalations, ensuring issues are resolved within agreed service standards.


• Drive improvements in investor servicing, workflow and operational efficiency.

Operational Leadership

• Lead and develop a high-performing Fund Administration team across Fund Accounting and Transfer Agency.


• Manage operational capacity, resource planning and succession planning.


• Establish clear KPIs, SLAs, performance objectives and operating standards.


• Ensure appropriate segregation of duties, maker/checker controls and operational risk management.


• Identify operational risks and implement appropriate mitigating controls.


• Lead process improvement, automation and technology initiatives.


• Ensure business continuity and appropriate operational resilience.


• Work closely with senior management on strategic development of the fund administration platform.

Stakeholder Management

• Act as a senior point of contact for key clients both internal and external.


• Support new client and fund launches, migrations and transitions.


• Work with commercial teams on new business opportunities and operational feasibility.


• Ensure client service levels and contractual obligations are consistently achieved.

Regulatory & Risk

• Maintain a strong control and governance framework across Fund Accounting and Transfer Agency.


• Ensure compliance with all regulatory requirements.


• Support internal and external audits, regulatory reviews and client due diligence.


• Ensure operational incidents are appropriately documented, investigated and remediated.


• Promote a strong culture of risk awareness, accountability and control ownership.
