The Opportunity | Te āheinga


Are you an organised and proactive administrator who thrives in a fast-paced environment?


 


We're looking for a Delivery Administrator to join our Sustainability and Infrastructure Team on a full-time, permanent basis.


 


In this varied and rewarding role, you'll play a key part in supporting the successful delivery of essential services and projects by ensuring the smooth day-to-day operation of the team. Working closely with technical staff, contractors, customers and stakeholders, you'll provide high-quality administrative support while helping to enhance team performance and ensure legislative requirements, Council policies and procedures are met.


 


No two days are the same. You'll be the vital link that keeps information flowing, processes running efficiently and the team focused on delivering great outcomes for our community.

Key Responsibilities | Ngā haepapa matua



  • Provide general administration support to help deliver on activities and initiatives.

  • Identify opportunities for process improvement within the team's administrative functions.

  • Assist in budget tracking and financial administration for sustainability and infrastructure projects.

  • Prepare and maintain project documentation, ensuring that records are up-to-date and accessible.

  • Manage and organise team meetings, including scheduling, agenda preparation, and minutes when required.

  • Respond to inquiries and requests for information when support is required in a timely manner in accordance with NPDC customer service standards.

  • Collaborate with team members to implement efficiency enhancements.

  • Raise purchase orders.

  • Prepare and compile reports, letters, and other documents.

  • Assist the team with various technical administrative tasks, including maintaining registers, databases, and managing correspondence for contracts and activities.

  • Handle data entry and management of multiple databases and reporting with accuracy.

  • Monthly invoicing and reporting on contracts where required.

  • Add to and induct new customers.

  • Assist with the management of Customer service requests.

  • Liaise with Finance teams on accruals on contracts and monthly remittance claims.

  • Manage contract emails.

  • Prepare and manage the license agreements for Resource Recovery.


 


 


Essential Skills and Experience | Ngā pūkenga me ngā wheako



  • High level of computer technology competency and Microsoft Products, particularly Outlook, Word, Excel, and PowerPoint.

  • Experience with Tech1 or other CRM software

  • Relevant degree or at least two years of administration.

  • Proven experience in customer service with an ability to build positive working relationships and a focus on solutions.

  • Ability to coordinate small initiatives.

  • Excellent written and verbal communication skills.

  • Proven ability to work independently and make decisions as required.

  • Ability to handle variety and change with a proven ability to meet deadlines.

  • Ability to advocate and promote the council’s objectives to a wide range of interest groups, schools, and the public.
