RightWay is an accounting and advisory firm that does things a bit differently. We work alongside business owners, not just at year end, helping them understand their numbers and make better decisions.



We are growing and we are looking for a Practice Manager to make sure the engine room of the firm runs smoothly, so our accounting and bookkeeping teams in NZ and the Philippines can do their best work.



This is a key role, working closely with our senior team.



About the role



The Practice Manager is responsible for the day-to-day running of the practice, with a focus on:



  • Keeping workflow under control across our accounting and bookkeeping pods

  • Making sure our systems talk to each other and are used well

  • Owning billing and supporting strong financial performance

  • Supporting great customer service and a consistent client experience



In practice, you will:



  • Support our managers to design, document and maintain standard processes for compliance, bookkeeping, outsourced finance and advisory work

  • Build and manage job and task workflows in Xero Practice Manager, Xero Workpapers and our wider tech stack.

  • Support our Accounting Managers to run a simple, regular workflow rhythm with pod leads to manage priorities, bottlenecks and deadlines

  • Oversee front-line customer service, including phones and shared inboxes, making sure calls are answered promptly and queries get to the right person

  • Manage the end-to-end billing process, preparing draft invoices and coordinating review and approval with accounting and bookkeeping managers and Business Partners

  • Work with managers to resolve billing queries, manage WIP, billing cycles and debtor days

  • Support the CEO and CFO with reporting and insights on key metrics such as gross margin, write-offs, utilisation and recovery

  • Coordinate training and onboarding for staff on systems, billing processes and standard ways of working

  • Help build a culture of continuous improvement across the firm



About you



You are a practical operator who likes making things work better. You enjoy bringing structure and clarity to moving parts and you are comfortable working with both detail and people.



You will likely bring:



  • Experience in a practice operations, practice management or operations management role, ideally in an accounting, bookkeeping or professional services environment

  • A solid understanding of how an accounting firm works day to day (compliance, bookkeeping, advisory, WIP, billing, utilisation)

  • Experience managing or coordinating billing and working with senior staff to review and approve invoices

  • Strong systems skills, ideally including Xero Practice Manager, Xero Workpapers and Microsoft 365

  • Confidence with data and reporting – you can pull information from systems, spot patterns and turn them into simple, clear actions

  • Experience working with or coordinating offshore teams would be a bonus

  • A calm, professional manner with clients on the phone and via email
