ACCOUNTS & OPERATIONS COORDINATOR

Reporting to: Operations Team Lead/Operations Manager
Job Purpose:
As an Operations Coordinator, you’ll be responsible for managing, confirming travel arrangements and preparing travel documents ensuring that schedules and other necessary information align with the traveler’s needs and preferences.
Key Responsibilities:
OPERATIONS COORDINATOR
Manage reservations daily to ensure they are quickly and accurately confirmed and adjusted as needed with suppliers.
Work on various confirmations, itineraries, and chaser queues as assigned.
Ensure documents get sent in a timely manner upon receipt of client information.
Manage client and supplier communication to ensure accurate responses are received within 24 hours.
Assist in maintaining a proper electronic filing system of all confirmations and correspondence related to reservations in both the emails and the booking itself.
Maintain accurate and up-to-date travel records, including itineraries, bookings, and invoices.
Perform Quality Control to assure that all bookings are confirmed and processed accurately.
Assist with other ad hoc tasks as needed.
ACCOUNTS SPECIALIST
Accounts Payable Management:
Work on various supplier invoices and month-end responsibilities as needed.
Pay suppliers per terms and maintain company controls.
Respond to supplier/client inquiries through emails in a timely manner.
Perform Statement reconciliations.
Coordinate with other departments and within the other responsibilities in Accounts to ensure accurate recording and control of the company’s finances and information.
With Accounts Receivable tasks to complete and with other ad hoc tasks as needed.
Accounts Discrepancy Resolution:
Investigate discrepancies between invoices, payments, and credit notes.
Work closely with internal teams and external vendors to clarify and resolve any mismatches or errors.
Document discrepancy issues and follow through to resolution to maintain account accuracy.
Required Skills and Qualifications:
Candidates must possess at least Bachelor's or a College Degree in Accounting; Hospitality/Tourism/Hotel Management or equivalent.
Experienced in Operations specifically Reservations is preferred.
Familiarity with accounting systems and tools is an advantage.
At least 1 year of working experience in the related field is required for this position.
Excellent verbal & written English communication skills
Strong analytical, problem-solving and interpersonal skills for effective collaboration.
Strong prioritization skills in order to meet established deadlines
Intermediate proficiency with Microsoft Word, Excel, and Outlook.
Proficiency in efficient time management and adept task prioritization
Ability to conduct internet research with demonstrated computer skills
Highly detail oriented with an ability to concentrate for an extended period of time.
