Job Description - ActiveOne: Clinic Operations Specialist / Supervisor

Job Objective / Purpose

This Role is an essential role responsible for overseeing and managing multiple accounts within the designated Industry. This position plays a critical role in ensuring the efficient and effective operation of the site clinics in coordination with the Cluster Leads. The Role is responsible for providing leadership, strategic direction and operational oversight to ensure the delivery of high-quality industry based health services, patient and client satisfaction and the achievement of business objectives.

Duties and Responsibilities

Monitors compliance of staff with standards defined by ActiveOne specifically with regard to customer service and other staff behavior policies in collaboration with the Clinic Cluster Leads.
Monitors and maintain records of staff performance relative to attendance & performance
Approval of leaves and overtime.
Ensures communication/coordination with site medical personnel regarding client requirements and ActiveOne policy updates.
Collaborate with other units regarding any escalations such as staffing, operational issues, reports and other related concerns affecting the agreed commitment to clients.
Monitors manpower deployment based on contracted headcount. 100% commitment.
Assists in monitoring of OSH compliance and submission of AMR and WAIR (Covid and Accident) to client POC.
Organize/identify Health Programs based on the client illness/incidence reports
Facilitate necessary training to achieve the 4 pillars of excellence.
Guide and set direction to the Clinic Cluster Leads in achieving client SLA’s.
Maintains the list of handled site medical personnel.
Training new hires (CLs)
Creating and managing team schedules.
Reporting to Clinic Management Head.
Evaluating performance of the people under the team and providing feedback.
Identifying and applying career advancement opportunities.
Helping to resolve employee issues and disputes.
Works closely with key departments across the company to drive alignment and achieve shared objectives.
Performs additional tasks as delegated by the Asst. Manager / Manager to ensure the effective achievement of business priorities
Manages daily execution of operations of assigned clinic accounts and ActiveOne medical team, ensuring compliance and service quality, based on agreed client SLAs.
Oversee operational expenses related to clinic operations including staffing, medical supplies, and site operational requirements within assigned accounts.
- Prepares and monitors operational budgets to ensure resources are allocated effectively and expenses remain within approved limits.
- Sumit and process departmental expenditures and identify cost‑saving opportunities to maintain financial efficiency.
- Ensures compliance with financial policies and internal controls in all budget‑related activities.
- Forecasts future resource needs and submits timely budget/ resources reports and requests to support operational continuity and service delivery.
Handled Account: 4-12 accounts, depending on account distribution assignment
- 31-200 clinic staff
- 31-40 clinic sites

Background and Qualifications

College Graduate of any Allied Profession
At least 3 years of experience in clinical / business operation role.
At least 3 years years of supervisory role.
OH Training Certificate
With Active PH License
