Now, we're looking for an Admin and Facilities Associate. The Admin and Facilities Assistant, will play a crucial role in setting up the foundations in making this happen - He/She will play an important role in establishing strong foundations for efficient and effective office operations. He/She will provide day-to-day administrative and facilities support, ensuring that employees, guests, and visitors have a safe, organized, and well-supported workplace.

What you’ll be doing:

• Manage daily office and facilities operations – Oversee meeting room bookings and requirements, parking reservations, visitor access, mail and parcels, office supplies, pantry supplies, and facility concerns. Coordinate with housekeeping, maintenance, security, vendors, and service providers to ensure smooth and efficient office operations.
• Coordinate employee travel and provide administrative support – Arrange flights, hotels, transportation, and travel documentation in line with company policies and approved budgets. Prepare reports and records, process Purchase Requests and Petty Cash Funds, and support company events and office activities.
• Support office compliance and documentation – Assist with business permit and lease documentation, including preparation, routing, filing, and coordination with relevant teams and external parties.
• Maintain accurate administrative records and ensure required documents are properly tracked and filed.
• Adhere to company policies and procedures.
• Achieve or exceed targets and key objectives assigned by your Immediate Superior
• Accept other associated responsibilities and projects as the need arises.

Contract length: 1 year

• Bachelor's degree in Business Administration, Office Administration, Hospitality Management, Tourism Management, or any related field is an advantage.
• Fresh Graduate or at least 1 year of experience in reception, administrative support, office administration, or facilities coordination is preferred.
• Relevant experience in reception, administration, office support, or a similar role.
• Strong organizational and multitasking skills, with the ability to prioritize tasks, manage deadlines, and maintain attention to detail.
• Proficiency in Google Workspace (Sheets, Docs, Gmail, and Calendar) and other basic office tools.
• Excellent communication and interpersonal skills, with a customer service-oriented, proactive, resourceful, and professional approach.
