Job Title: Business Support Assistant (Procurement)

Type of Contract: Special Service Agreement

Grade: Level 2

Unit/Division: Supply Chain

Duty Station: Manila, Philippines

Duration: Three (3) months

This position is open to Filipino nationals only.

ORGANIZATIONAL CONTEXT:

The Business Support Assistant (Procurement) provides administrative support to Procurement unit and Supply Chain Unit, and reports to the Procurement Officer or designate. At this level, work is carried out under close supervision and job holders are expected to produce organized and accurate work.

JOB PURPOSE:

To deliver routine business support tasks that ensure effective assistance to staff and contribute to smooth procurement and administrative operations.

KEY ACCOUNTABILITIES AND RESPONSIBILITIES:

  • Provide support in the vendor registration process,  including checking and organizing required documentation in line with established procedures
  • Assist team members in routine procurement activities using Smart sourcing platform, including preparing purchase documents, tracking orders, and liaising with suppliers as  per instruction.
  • Collect, sort, and distribute correspondence, reports, and other materials to meet staff requirements within established timeframes.
  • Respond to routine queries with guidance from senior staff, escalating when necessary to ensure timely and accurate responses.
  • Maintain office files, documents, and records in accordance with established systems and processes, ensuring information is current and accessible.
  • Perform standard data entry tasks to keep procurement and administrative information organized and readily available.
  • Assist in preparing simple visuals or data presentations (e.g., graphs, tables) using standard templates to support reporting needs.
  • Perform other related tasks as needed.

QUALIFICATIONS & EXPERIENCE REQUIRED:

EDUCATION:

Completion of secondary school education. Additional training or certification in business administration, procurement, supply chain, or related fields is an advantage.

EXPERIENCE:  

At least two (2) years of progressively responsible experience in administrative or business support roles, preferably in procurement, supply chain, or logistics functions. Having relevant academic or volunteer experience, tasks performed under guidance and on-the-job learning in similar roles are desirable.

KNOWLEDGE AND SKILLS:

  • Ability to follow established business support processes and procedures with attention to accuracy and detail.
  • Proficiency in standard office software applications (e.g., Microsoft Word, Excel).
  • Ability to communicate information clearly and effectively, demonstrating courtesy and tact when dealing with colleagues and external stakeholders.
  • Strong attention to detail and ability to maintain organized and accurate records.

LANGUAGE:  Excellent written and oral communication skills in both English and Filipino.

Compensation Package Overview:

  • Monthly salary starting from approximately PHP 35,000.00++
