What You'll Do
As Crew Auxiliary Team Lead, you'll oversee the daily operations of the Crew Auxiliary team while supporting key crewing, recruitment, digitalization, and administrative initiatives. You'll play an important role in ensuring efficient crew operations and driving continuous process improvements.
Key Responsibilities
- Lead the day-to-day operations of the Crew Auxiliary team and act as the designated deputy and backup for the Crew Auxiliary Manager.
- Support and execute recruitment activities based on Crew Operations requirements, including the maintenance of recruitment channels, communication platforms, and candidate engagement activities.
- Serve as the Recruitment Team Lead, Digitalization Resource Person, and Backup Administrator for the company's crew management software (OCS HR).
- Support crew planning, reporting, and deployment processes through seafarer coordination, document verification, administrative processing, and maintenance of crew-related records.
- Verify the completeness and accuracy of documents submitted for management review and approval, including contracts, addenda, reimbursements, cash advances, and other crew-related requirements.
- Coordinate and monitor pre-employment medical examination (PEME) requirements, including endorsement, scheduling, and follow-up of results.
- Ensure the timely, accurate, and complete maintenance of seafarer data, activities, and supporting documents in the company's crew management software (OCS HR) in accordance with established procedures.
- Maintain operational records and reports, including vessel crew lists, next-of-kin records, seafarer movement data, certifications, and other crew-related documentation.
- Support succession planning initiatives through the maintenance, monitoring, and validation of seafarer records, qualifications, activities, and development information.
- Contribute to continuous improvement initiatives, digitalization projects, and operational excellence within the Crew Auxiliary team.
What We're Looking For
Qualifications
- Bachelor's degree in any discipline.
- Experience in crewing operations, crew administration, maritime HR, recruitment, or a related field is an advantage.
- Exposure and knowledge to digitalization initiatives, reporting tools, data analytics, or process automation is a plus.
- Proficiency in Microsoft Office applications, particularly Excel, Word, PowerPoint, and Outlook.
- Strong analytical, organizational, and problem-solving skills with excellent attention to detail.
- Excellent written and verbal communication skills, with the ability to work effectively in an international and multicultural environment.
