Job Brief
We are seeking a highly organised and detail-oriented Data & Systems Coordinator to support the ongoing management of business systems, operational data, and digital records. This role is responsible for maintaining the accuracy and integrity of key information across multiple platforms, ensuring databases, supplier records, travel systems, and digital assets remain current and well organised.
Working independently while collaborating closely with the operations and support teams, the successful candidate will manage recurring data administration tasks, system audits, supplier information, and digital itinerary support. This position is ideal for a proactive professional who enjoys working with systems, maintaining data accuracy, and improving operational efficiency through structured processes.
Responsibilities
Database & Systems Management
CRM Administration: Maintain accurate and up-to-date records within the CRM system, ensuring account information is complete, accurate, and aligned with operational requirements.
Data Integrity: Identify incomplete, duplicate, or inaccurate records and implement corrective actions to maintain data quality across all systems.
Document Management: Organise and maintain digital files within shared cloud storage, ensuring documents are correctly named, structured, and accessible.
Travel Systems Administration
Travel System Management: Create and maintain supplier, creditor, and debtor records within the travel management system, ensuring information remains current and accurate.
Digital Itinerary Support: Build, update, and maintain digital travel itineraries using information supplied by travel advisors, ensuring consistency, accuracy, and professional presentation.
Knowledge & Content Management
Knowledge Base Maintenance: Conduct regular audits of internal knowledge resources, identifying content requiring updates and preparing revised documentation.
Supplier Information Management: Monitor supplier updates and maintain accurate supplier information across all business systems.
Operational Support
Supplier Administration: Coordinate supplier reviews and maintain supplier records to ensure information remains accurate and current.
Professional Development Records: Maintain records relating to training, conferences, industry events, and professional development activities.
Case Management: Monitor and update operational cases within the CRM, ensuring timely follow-up and accurate record keeping.
Reporting & Auditing: Perform regular system audits, identify inconsistencies, and provide recommendations to improve data quality and operational processes.
General Administrative Support: Provide additional operational and administrative assistance as required to support the wider team.
Requirements
Demonstrated experience working with travel industry systems, including Tramada.
Experience using Salesforce or a comparable CRM platform is highly desirable.
Strong understanding of data management, record maintenance, and system administration.
Excellent attention to detail with a methodical approach to data entry and quality assurance.
Ability to work independently and manage recurring responsibilities within a remote environment.
Strong organisational and time management skills with the ability to prioritise multiple tasks.
Excellent written and verbal English communication skills aligned with Australian professional standards.
Experience maintaining digital documentation, knowledge bases, or internal operational resources is highly regarded.
Working knowledge of travel industry operations and supplier management is advantageous.

Education
High School Certificate or equivalent is required.
Tertiary qualifications in Travel, Tourism, Business Administration, Information Management, or a related field will be highly regarded but are not essential.
