Job Description - Front Desk Receptionist Dental Practice | Remote

The Snapshot

This is a client-facing, screen-based front desk role for an established Australian dental practice. You'll be one of two virtual receptionists working in tandem, greeting patients over a live video screen, managing the phones, and keeping the daily schedule running without gaps. It's a role for someone who's polished on camera, quick on their feet, and genuinely likes looking after people.

What You Will Actually Do

Patient Check-In & Front Desk

  • Greet patients on a live video screen as they arrive, the same way you'd greet someone standing in front of you at a front desk.

  • Juggle that with phone calls at the same time: put a caller on hold, check a patient in, then pick the call back up without losing the thread.

  • Follow the practice's scripts and policies accurately, while knowing when a situation calls for you to think on your feet instead.

Phones, Email & Scheduling

  • Handle a steady flow of inbound calls (the bulk of patient contact comes this way), plus email enquiries.

  • Make outbound calls to confirm upcoming appointments and reduce no-shows.

  • Keep the appointment book full and accurate, ideally booked out weeks ahead, with no gaps in the day.

  • Handle cancellation requests with a mix of policy and warmth: explain the cancellation policy clearly, offer to rebook, and keep the patient onside without just caving or being pushy.

Admin & Records

  • Update patient notes and records accurately after every interaction.

  • Send invoices and outstanding account correspondence to the right person on the team.

  • Keep on top of your own notes well enough that you're not asking a patient (or the team) the same question twice.

Lab Coordination

  • Liaise with dental labs on case timelines and delivery schedules, and flag anything that needs attention.

What You Need to Bring

  • Excellent, clear spoken and written English. You'll be on camera and on the phone all day with patients who need to understand you easily, so clarity matters as much as vocabulary.

  • Confident and comfortable on camera. This is a genuinely client-facing role, not a behind-the-scenes one.

  • Strong attention to detail, especially with scheduling and patient records. A double-booking or a missed note is the kind of thing that causes real problems here.

  • Comfortable multitasking under light pressure (calls, screen check-ins, and notes all at once) without dropping the ball.

  • A self-motivated, business-first attitude. You pick things up within two or three goes and don't need to be micromanaged.

  • Confidence to hold a firm, friendly conversation, for example navigating a patient who wants to cancel, without being pushy or a pushover.

  • A stable, reliable internet connection.

Nice to Have

  • Experience with Dental4Windows, 3CX phone systems, or Zello (training is provided either way).

  • Previous reception experience in a dental, medical, or allied health setting.

  • A bit of a sales or customer-service background, particularly handling a high volume of interactions.

The Setup

  • This role is open to Philippines-based candidates only.

  • Fully remote, working hours aligned with Australian business hours (approximately 9am–5pm AEST/AEDT).

  • You'll work alongside a second receptionist in the same role, covering each other for breaks so the desk is never unattended.

  • Onboarding includes a structured video training program plus one to two weeks of hands-on training and role play before you're fully on your own.

What's In It for You

You're employed directly and compliantly by Staffstream under Philippine law, not by the client, and not as an under-the-table arrangement. That means:

  • Proper local employment with correct tax handling.

  • Mandatory government benefits: SSS, PhilHealth, and Pag-IBIG.

  • 13th month pay, pro-rated correctly from your start date.

  • Health and life insurance from day one, genuinely useful cover, not a box-ticking extra.

  • Real structure behind you: proper onboarding, ongoing support, and a team that's invested in getting the fit right, not just filling a seat.

How This Works

You're employed by Staffstream and placed with an Australian dental practice client. Staffstream handles your employment, pay, and benefits directly and compliantly under Philippine law, and provides ongoing support throughout your placement. The practice is who you'll work with day to day; Staffstream is who employs you.
