Role Overview:


The Crewing Administrator, internally known as HR Administrator and Crewing Assistant will support crew mobilisation and demobilisation, employee documentation, contract processing, compliance tracking, vessel schedule updates, and day-to-day administrative tasks to ensure accuracy, timeliness, and smooth operational support for the business.

    Key Responsibilities:



    • Support the Crewing Coordinator with documentation, administrative requirements, and general crewing support.

    • Prepare and issue project and marine contracts, ensuring accuracy and timely processing.

    • Assist with mobilisation and demobilisation administration, including contracts, schedules, matrices, competencies, and required documentation.

    • Update and monitor crew vessel schedules and maintain accurate tracking records.

    • Create traveler profiles through ATPI and new starter profiles for project and marine employees.

    • Follow up with employees to obtain required documents, including certificates, health licenses, vaccination records, competencies, and other compliance requirements.

    • Arrange medical appointments, including Oil & Gas UK Medical, Drug & Alcohol testing, and travel consultations, and book staff training requirements.

    • Support expense claim processing, monthly accounting reports, employee personnel files, recruitment administration, HR documentation, reporting, proofreading, data maintenance, and other ad hoc task.



    What We're Looking For:



    • Bachelor’s Degree in Human Resource, Business Administration, or a related field with 3 years of e
      xperience in maritime, crewing, oil and gas, offshore, marine operations, or similar industries is highly preferred.

    • Background in crew mobilisation, demobilisation, vessel scheduling, employee documentation, contracts, training coordination, and compliance tracking.

    • Experience handling certificates, health licenses, vaccination records, competencies, medical appointments, Drug & Alcohol testing, and travel-related requirements.

    • Strong skills in administration, data entry, document management, reporting, and employee records maintenance.

    • Proficient in Microsoft Office 365, spreadsheets, and other HR or operational systems.

    • Strong attention to detail, time management, multitasking, critical thinking, and ability to meet deadlines.

    • Excellent communication and interpersonal skills, with a proactive, adaptable, and service-oriented approach.

    • Must be willing to work full time onsite at Arcovia City, Brgy. Ugong, Pasig City (Monday - Friday, morning shift).
