Description

The Junior Project Finance Specialist will assist the Finance business partner in providing reconciliations of agency invoices against the timesheet details. The Finance Analyst should be aware of accounting principles and should be able to provide solutions to streamline processes.



Responsibilities

Reporting and Analysis

  • Distribution of weekly time sheets to Agencies
  • Maintain web timesheet mailbox (including attending queries)
  • Confirm, late timesheet approval to agencies
  • Be able to process a high volume of invoices
  • Assemble and review invoices to be completed for payment
  • Obtain proper information and/or data through weekly timesheets to align invoice payments
  • Process travel and expense reports and oversee distributions in a timely fashion
  • Research and investigate to clear disputed invoices and provide recommendations
  • Reconcile agency statements to ensure that accounts are up to date and correspond with vendors to clear discrepancies
  • Reconciliation of Agency account to General Ledger
  • Proactively initiate and follow-up on credit notes

 

Training and Development

  • Complete relevant and mandatory training 
  • Knowledge of IMS and WSP procedures and policies to educate self and others
  • Identify patterns of knowledge gaps though auditing and provide feedback to management to implement training plans


Qualifications
  • Tertiary degree in relevant field preferable (commerce, accounting, finance, business administration)
  • At least 2-3 years' experience within an finance analyst role or finance management role
  • Ability to utilise spreadsheets and create pivot tables, formulas, data format/sort/filter, VLOOKUP, SUMIFS 
  • Awareness of accounting principles, practices, and methods and their application to project work-related issues.  
  • Analytical mindset with an ability to exercise sound independent judgement in evaluating situations and making decisions with financial implications to the company 
  • Effective interpersonal and communication skills when interacting with others, expressing ideas effectively and professionally to a financial and non-financial audience 
  • Ability to learn new techniques, perform multiple tasks simultaneously, follow instruction, work independently, and comply with company policies 
  • Effective self-leadership with attention to detail, results orientation, and managing multiple priorities in a dynamic work environment 
  • Ability to productively work with remote teams and build strong relationships with engineers, commercial leads, finance business partner
