The Role
We're looking for a Podcast Production Virtual Assistant who will own the end-to-end publishing pipeline for our client, so every episode ships on time, correctly presented, properly filed, promoted, and tracked. You'll work directly with the client's Director, taking full ownership of production administration that currently sits on the founders' plates.
Our client is a small, founder-led podcast production studio based in Perth, Australia. They produce podcasts for client shows across YouTube, Spotify, and other audio platforms, and run a physical studio where guests come in for recordings and tours.
This is a hands-on, checklist-driven environment with no team layer between you and the Director. You'll be expected to work unsupervised, raise issues early, and follow through without needing to be chased.
Key Responsibilities
Upload and schedule full episodes to YouTube, Spotify, and other audio platforms
Produce and publish shorts and clips, each linked to its source episode and released the day after the main video
Write and format show notes, titles, descriptions and tags, and upload thumbnails
Add chapters to YouTube and Spotify episodes and include them in show notes
Generate and clean up episode transcripts
Confirm all editor files are uploaded before an episode enters the publishing queue
Check every editor deliverable against the publishing checklist before it goes live, and return anything that fails
Save, organise and back up all files following the client's folder structure and naming conventions
Build and maintain the client's asset library from editor assets, generated content, and B-roll footage
Keep client and project progress current in ClickUp, and follow up editors and team members on outstanding work
Write, format and schedule blog posts in WordPress
Optimise blog posts for search: meta descriptions, internal links, image alt text
Complete keyword research for episode titles, tags and descriptions
Schedule marketing and social content across client channels
Repurpose episodes into an email newsletter
Source B-roll, stock images and generated animation using episode transcripts to locate matching footage
Design quote cards, carousels and episode graphics in Canva
Requirements
Essential
3+ years' experience in podcast publishing, content coordination, production support, or a senior virtual assistant role
Hands-on YouTube Studio experience, with real channels or shows you can speak to
Regular WordPress publishing and scheduling experience (not occasional use)
Strong written English, confident enough to produce public-facing show notes and blog copy in a client's brand voice
Basic to intermediate video and clip editing skills, with judgement on what makes an effective short
Proven discipline working to strict file naming conventions and folder structures
Comfortable working independently with minimal supervision, and confident raising problems early
Excellent attention to detail and a proactive communication style
Systems and Tools
YouTube Studio, Spotify for Podcasters (or equivalent), WordPress, ClickUp, OneDrive, Canva, Microsoft 365
One clip editing tool: CapCut, Premiere Pro, DaVinci Resolve, or Descript
Preferred
Experience with a podcast host/RSS platform (Buzzsprout, Captivate, Libsyn)
Transcription tool experience (Descript, Otter)
Social scheduling tool experience (Buffer, Hootsuite, Later)
Calendly
Email marketing platform experience
Keyword research tool experience
Prior experience supporting an Australian client or business

This position is an onsite role at our Pampanga office. Candidate must be willing to work on-site.
