JOB OVERVIEW
The Project Controls
Coordinator provides coordination and analytical support to the PMO in
monitoring and controlling project performance across schedule, progress,
cost, risk, and project reporting.
The role supports the
implementation of project controls processes and ensures that project
information from engineering, procurement, construction, contractors, and other
project teams is accurately consolidated, tracked, and reported to
support timely management decisions.
The position will work
closely with Project Controls, Engineering, Procurement, Construction,
Commercial, and other project stakeholders to maintain reliable project data,
monitor key project performance indicators, and support the PMO in identifying
issues, risks, and potential delays.
THE ROLE
Project Controls
Coordination
· Coordinate the collection, consolidation, and
validation of project controls information from various project teams and
contractors.
· Maintain project controls trackers, dashboards,
registers, and reporting databases.
· Monitor project performance against approved
schedules, milestones, and key project targets.
· Coordinate with discipline teams to ensure timely
submission of project controls data and updates.
· Follow up on outstanding information, deliverables,
and actions required for PMO reporting.
· Support the PMO in maintaining consistent project
controls processes and reporting standards.
Schedule and Progress
Monitoring
· Support the development, updating, and monitoring
of project schedules in coordination with the Planning/Scheduling team.
· Track actual progress against planned progress and
identify areas of slippage.
· Consolidate progress updates from engineering,
procurement, construction, and other workstreams.
· Support the preparation of weekly and monthly
project progress reports.
· Assist in identifying schedule risks, critical
activities, and potential delays.
· Support the development and monitoring of recovery
actions and mitigation plans.
Project Reporting and PMO
Support
· Prepare and consolidate PMO reports, dashboards,
presentations, and management updates.
· Maintain project performance indicators and provide
timely updates on project status.
· Support the preparation of Executive/Management
reports highlighting key progress, issues, risks, and required actions.
· Coordinate inputs for project review meetings and
management forums.
· Prepare meeting agendas, minutes, action trackers,
and follow up on commitments.
· Ensure consistency and
accuracy of project information presented to management.
Risk, Issues, and Action
Tracking
· Maintain and coordinate updates to the Project Risk
Register, Issues Register, and Action Tracker.
· Follow up with responsible stakeholders on
mitigation actions and overdue items.
· Monitor emerging risks and issues and escalate
items requiring PMO or management attention.
· Support risk and project controls workshops as
required.
· Track the implementation and effectiveness of
mitigation and recovery actions.
Project Controls Data and
Documentation
· Maintain organized project controls records,
reports, trackers, and supporting documentation.
· Validate project data for completeness,
consistency, and accuracy before inclusion in reports.
· Coordinate with Document Control to ensure
appropriate filing and version control of project controls information.
· Support the development and improvement of project
controls templates, reporting tools, and processes.
PMO Coordination
· Support the PMO in coordinating activities across
Engineering, Procurement, Construction, Commercial, HSE, and other project
functions.
· Assist in monitoring key project interfaces and
dependencies between workstreams.
· Support project governance activities, reporting
cycles, and PMO requirements.
· Identify gaps in project information and coordinate
with relevant teams to obtain the required data.
· Provide general project controls and coordination
support to the PMO Lead and Project Management team.
· Bachelor's Degree in Engineering, Construction
Management, Project Management, or a related discipline.
· Minimum 10 years of experience in project
controls, project coordination, planning, scheduling, project management, or
PMO functions.
· Experience in large-scale engineering,
construction, infrastructure, energy, hydropower, oil & gas, or industrial
projects preferred.
· Experience working in a PMO or Project Controls
environment is highly desirable.
· Good understanding of project controls
principles and project execution processes.
· Knowledge of planning, scheduling, progress
measurement, reporting, risk, and project performance monitoring.
· Experience coordinating across multidisciplinary
project teams and contractors.
· Familiarity with Primavera P6, Microsoft
Project, Power BI, or equivalent project controls tools is an advantage.
