Job Description - Project Systems Specialist

Role Overview:


We are looking for a Project Systems Specialist focused on ERP data administration, project/job setup, document management, and operational support across tender, planning, logistics, and mobilisation teams. 


This role requires strong administration experience, excellent accuracy, advanced spreadsheet skills, and exposure to ERP systems such as Dynamics 365, SAP, Oracle, or similar platforms. The ideal candidate will be confident managing project information, supporting stakeholders, and handling commercial/project control activities including quotes, contracts, variations, and system updates.

Key Responsibilities:



  • Administer and maintain project and operational data within Dynamics 365 and related ERP systems.

  • Support project/job setup, system updates, data entry, data configuration, and migration.

  • Maintain project records including quotes, contracts, forecasts, rosters, assets, compliance records, and commercial updates.

  • Support Dynamics 365 Project Operations activities, including project records, calculations, and data accuracy.

  • Assist with contracts administration, variation updates, commercial documentation, and project control records.

  • Prepare and manage heavy lift/crane-related project documentation.

  • Maintain organized spreadsheets, documents, and records using MS Excel, MS Word, SharePoint, and Microsoft 365 tools.

  • Coordinate with tender, planning, logistics, mobilisation, finance, payroll, and travel teams.

  • Respond to stakeholder queries and manage expectations professionally.

  • Support process improvement initiatives to improve data quality and workflow efficiency.



What We’re Looking For:



  • Bachelor’s degree in Engineering, Information Technology, Finance, Business Administration, or related field.

  • Minimum of 3–5 years of strong administration experience, preferably in engineering, construction, project operations, commercial, or project control environments.

  • Experience with ERP systems administration and data management, ideally Dynamics 365, SAP, Oracle, or similar.

  • Experience with Dynamics 365 Project Operations module is highly preferred.

  • Strong proficiency in MS Excel, MS Word, Outlook, SharePoint, and Microsoft 365 applications.

  • Experience in project administration, contracts administration, commercial support, variations, document control, mobilisation, finance, payroll, or travel coordination.

  • Excellent communication skills with confidence in managing stakeholder expectations.

  • Strong attention to detail, organization, adaptability, and willingness to handle tasks beyond administration.

  • Willing to work in the office full-time at Arcovia City, Brgy. Ugong, Pasig City. (Monday - Friday, morning schedule)
