Job Brief
We are seeking a highly meticulous and proactive Office-Based Paralegal to provide legal, administrative, and case management support within an Australian legal environment. The role will focus on supporting personal injury matters, maintaining accurate files and documentation, and ensuring solicitors have the administrative support required to progress matters efficiently.
The successful candidate will be responsible for following established processes, preparing legal documentation, maintaining confidential client records, and ensuring day-to-day legal workflows are completed accurately and within required timeframes.
Responsibilities
Case Management Support: Assist solicitors with the daily administration and progression of personal injury matters, ensuring files are accurately organised and kept up to date.
Document Preparation: Draft legal correspondence, routine court forms, and other legal documentation in accordance with instructions and established Australian legal standards.
File & Records Management: Organise, index, and maintain medical reports, briefs, client records, correspondence, and other case documentation.
Administrative Compliance: Ensure legal files and supporting documentation are complete, accurately maintained, and handled in accordance with confidentiality requirements.
Workflow Management: Follow detailed instructions and established procedures to ensure deadlines are met and daily legal tasks are completed efficiently.
Proofreading & Quality Control: Review documents for accuracy, formatting, spelling, and completeness before they are provided to solicitors or other stakeholders.
Client Information Management: Maintain accurate and confidential client information across relevant legal and administrative systems.
Continuous Improvement: Receive and implement constructive feedback while continually improving the accuracy and efficiency of legal administrative processes.
Requirements
Demonstrated experience working within an Australian legal practice, with specific experience in personal injury law.
Previous experience as a Paralegal, Legal Assistant, Legal Secretary, or similar legal support role.
Strong understanding of legal file management and administrative processes within an Australian legal environment.
Excellent written and spoken English communication skills suitable for professional Australian legal correspondence.
Exceptional attention to detail, particularly when proofreading, formatting documents, and entering legal information.
Strong organisational and time management skills, with the ability to manage competing priorities and tight deadlines.
Practical problem-solving skills and the ability to follow detailed instructions accurately.
Ability to handle sensitive personal and legal information with a high level of confidentiality and professional judgement.
Software Proficiency
Legal Practice Management Software – Clio, LEAP, PracticeEvolve, or similar
Productivity Tools – Microsoft Office 365 (Word, Excel, Outlook)
Document Management – Adobe Acrobat or equivalent PDF management software
Education
Bachelor’s Degree in Law, Legal Management, or a related field.
A relevant Vocational Diploma or Short Course Certificate in Legal Services will also be considered.
