About the Role
We are looking for two Strategic Operations Leads to help scale operations across customer operations, people operations, sales operations, and company-wide initiatives.
Working directly with the CEO and other Strategic Operations eads, you will step into a critical role driving execution across our most important priorities. This is a high-ownership role—you will own a broad range of SOPs and workflows end-to-end and serve as a true thought partner to leadership.
Successful candidates are proactive operators who enjoy building systems, improving processes, and taking ownership of outcomes rather than simply executing tasks. If you are scrappy, organized, and energized by mission-driven work in healthcare, this role is for you.
Sales Operations: Conduct provider research, manage CRM data (HubSpot), draft sales outreach and meeting prep materials, extract key call insights, and support invoicing and closing operations.
Customer Success & Post-Sales Operations: Support onboarding workflows, set up clinician rosters, coordinate user interviews and focus groups, schedule workshops, and track project timelines.
Customer Support Operations: Maintain end-to-end product knowledge, triage technical issues, manage support tickets, maintain customer issue dashboards, create SOPs/training documentation, and provide feedback for product roadmaps.
Special Projects: Assist with research support, product operations, domain/email setups, and self-serve revenue operations.
Required Qualifications
Core Competencies
Experience: 5+ years as a Chief of Staff, Executive Assistant, or Operations Specialist (ideally supporting US-based companies).
Time Zone Alignment: Full willingness to work US Eastern Standard Time (EST) hours to ensure real-time overlap with US operations.
Location: Remote (Open to candidates in the Philippines and other offshore locations).
Communication: Native-level or fluent English proficiency with exceptional written communication skills.
Execution & Ownership: High autonomy—identifies bottlenecks, proposes solutions, and executes with minimal oversight. Able to create structure and priorities in fast-moving environments.
Process & Systems Mindset: Demonstrated ability to build scalable systems, SOPs, and documentation. Data-driven approach to tracking and optimizing workflows.
Exceptional attention to detail, with the ability to conceptualize project outcomes and execute each step required to achieve them.
Structured communicator who brings clarity, organization, and initiative to every project.
Technical Skills
Core Office Tools: High proficiency with Google Workspace (Gmail, Drive, Calendly, Docs, Sheets).
CRM & Outbound Stack: Familiarity with tools like HubSpot, LinkedIn Sales Navigator, and Apollo (or strong ability to learn quickly).
AI & Automation Tools: Comfort using AI workflow accelerators (e.g., ChatGPT, Claude, Granola).
Documentation: Strong ability to design presentations, maintain organized file systems, and manage workflows across multiple software platforms.
Preferred / Bonus Experience
Background in healthcare, mental health, or high-growth tech startups.
Hands-on experience with customer operations, onboarding, implementation, or customer success functions.
Experience with workflow automation tools (Zapier, Mailchimp) and troubleshooting no-code platforms.
People management experience and/or experience managing freelancers or contractors.
