Job Description - Senior Project Administrator

Role Overview:


We are seeking an experienced Senior Project Administrator to support workforce management activities for a leading Australian mining and resources client. This role plays a critical part in workforce compliance, mobilisation, roster coordination, training management, travel logistics, and workforce administration.

Key Responsibilities:



  • Support Core Crew coordination, workforce administration, and mobilisation activities across multiple sites.

  • Coordinate compliance requirements, including training, certifications, medicals, DAS testing, inductions, and site access.

  • Conduct compliance reviews, monitor expiries and gaps, and follow up on upskilling or workforce risks.

  • Maintain workforce records, training information, compliance documentation, and employee updates in IFS and other systems.

  • Coordinate travel, accommodation, roster updates, labour forecasts, personnel allocations, and backfill requirements.

  • Communicate with employees, site teams, operations, candidates, and internal stakeholders regarding workforce updates.

  • Manage shared inboxes, trackers, work order administration, reporting, and general project administration.

  • Escalate compliance risks, workforce issues, and operational concerns in a timely manner.



What We’re Looking For:



  • Bachelor’s degree in Human Resource Management, or a related field, with 3–5 years of experience in project administration, mobilisation, compliance coordination, recruitment administration, or a similar role.

  • Strong experience in workforce compliance, onboarding, travel coordination, roster support, and workforce documentation.

  • Experience within mining, construction, engineering, or other project-based environments.

  • Australian or international client exposure is strongly preferred.

  • Proficient in Microsoft Office Suite, with experience using workforce management and compliance systems such as IFS, ERMS, Pegasus, CMS, Scodle, or similar platforms highly regarded.

  • High attention to detail with strong organization, prioritization, communication, and record-keeping skills.

  • Able to manage senior-level responsibilities independently without direct people leadership.

  • Proactive and assertive in following up requirements, escalating issues, and managing competing priorities.

  • Must be willing to work full time onsite at Arcovia City, Brgy. Ugong, Pasig City (Monday - Friday, morning shift).
