Role Summary



The Bilingual Appointment Setter (English & Spanish) is responsible for handling inbound and outbound calls to schedule, confirm, and coordinate patient appointments while delivering exceptional customer service. This role serves as one of the first points of contact for patients, providing assistance in both English and Spanish, answering general inquiries, and ensuring an efficient appointment scheduling process. The ideal candidate is customer-focused, organized, and comfortable working in a fast-paced healthcare environment.



Key Responsibilities




  • Handle inbound and outbound calls to schedule, reschedule, and confirm patient appointments.

  • Communicate professionally with patients in both English and Spanish.

  • Provide accurate information regarding services, providers, clinic locations, and appointment availability.

  • Verify and update patient demographic and contact information in the system.

  • Make reminder calls to reduce appointment no-shows and maximize provider schedules.

  • Follow up with prospective and existing patients to assist with scheduling needs.

  • Maintain accurate records of all patient interactions and appointment updates.

  • Coordinate with clinic staff to ensure smooth scheduling and efficient patient flow.

  • Deliver exceptional customer service while maintaining patient confidentiality and professionalism.

  • Meet daily productivity and quality goals for appointment setting and patient communication.



Qualifications




  • At least 1 year of experience in appointment setting, customer service, call center, or healthcare scheduling.

  • Fluent in both English and Spanish with excellent verbal and written communication skills.

  • Experience supporting U.S.-based customers or patients is highly preferred.

  • Strong phone etiquette with the ability to build rapport and communicate with empathy.

  • Excellent organizational and multitasking skills with strong attention to detail.

  • Comfortable using CRM systems, scheduling software, or electronic medical records (EMR/EHR) platforms.

  • Ability to work independently while managing multiple priorities in a fast-paced environment.

  • Healthcare, medical office, or eye care industry experience is an advantage.

  • Willing to work night shifts aligned with U.S. business hours.
