We are seeking a Tax Administrator to manage the end-to-end administrative processes supporting tax return filing, client documentation, and compliance reporting. The ideal candidate for this role should be highly organized and detail-oriented, capable of monitoring inboxes, coordinating e-signature workflows, maintaining accurate client records, and generating scheduled tax and billing reports. This role is critical for ensuring the accuracy, timeliness, and compliance of tax filings and client documentation processes.
What Youâll Do
Youâll be the kind of person who:
Monitor the Admin & Tax inbox daily to file tax returns, update the status of returns sent, and forward or action emails to the appropriate staff members.
Run the e-signature process and send client documents for client signature on a daily basis.
File signed tax returns from completed signing documentation and upload audit reports.
Collate manually signed returns and file them within the CRM system.
Perform daily client database updates to ensure accuracy and completeness of records.
Follow up on unsigned financial statements and tax returns through e-signature reminders.
Report and/or resolve tax errors on a daily basis.
Create scheduled tax reports, including provisional tax, unpaid tax, unfiled tax, and error/statement difference reports.
Send provisional tax letters from approved lists using practice management software and/or spreadsheets.
File IRD letters and tag relevant accountants on a weekly basis.
Prepare weekly/monthly billing reports and draft invoices as requested by directors.
Assist with ad-hoc administrative projects to improve systems, processes, and client database management.
Requirements
What You Bring
Weâre looking for someone with:
Bachelor's degree in Accountancy, Accounting Technology, or Business Administration is preferred.
3+ years of experience in tax administration, accounting support, or a related field.
Proficiency in e-signature platforms (e.g., Adobe Sign), practice management software (e.g., XPM), document management systems (e.g., FYI), and CRM systems.
Strong attention to detail and accuracy in handling tax filings and client data.
Excellent organizational and time-management skills to manage recurring daily, weekly, and monthly tasks.
Strong written and verbal communication skills for liaising with clients and internal staff.
Ability to work independently, prioritize tasks, and meet deadlines consistently.
Familiarity with tax compliance processes and financial statement documentation.
