Role Summary
The Coaching Operations Coordinator will provide dedicated operational and scheduling support for coaching practice. This role is responsible for ensuring the smooth execution of all coaching programs, including session coordination, participant management, and calendar operations.
Key Responsibilities
- Manage all coaching session schedules and program calendars.
- Coordinate coaching courses, program timelines, and seasonal planning.
- Schedule, confirm, and manage all participants prior to each coaching cycle.
- Handle participant communications and ensure accurate scheduling logistics.
- Monitor coaching schedules to ensure all sessions are organized, accurate, and running on time.
- Support the end-to-end administration and execution of coaching programs.
- Prepare expense reports and maintain accurate tracking of working hours.
- Ensure alignment and coordination across both operational resources.
- Manage complex scheduling across multiple time zones.
Qualifications
- 2+ years of experience in operations, program coordination, executive support, or a similar role.
- Experience supporting a U.S.-based client, executive, or operations team.
- Experience managing scheduling, calendars, or coordination-heavy workflows in a fast-paced environment.
- Strong organizational and time management skills with high attention to detail.
- Excellent communication skills with the ability to coordinate across multiple stakeholders and participants.
- Comfortable managing time-sensitive schedules across multiple time zones.
- Proficient in Google Workspace and/or Microsoft Office.
- Experience with the following tools is highly preferred:
- HubSpot CRM
- Microsoft Outlook / Microsoft Teams
- Monday.com
- Ramp (Expense Reporting)
- Ability to work independently, take ownership of processes, and ensure operational accuracy.
- Experience supporting coaching, training, or program-based environments is an advantage.
