Job Description - US Timekeeping Audit Specialist

Essential Functions:


Timekeeping Audit & Compliance



  • Perform regular audits of employee time records, attendance data, and payroll-related transactions to ensure accuracy and compliance.

  • Review timekeeping entries, schedule exceptions, missed punches, overtime, shift differentials, premiums, callback pay, on-call pay, and leave usage.

  • Identify, investigate, and resolve timekeeping discrepancies and payroll-impacting issues.

  • Ensure compliance with federal, state, local, and organizational payroll and labor regulations.

  • Monitor adherence to collective bargaining agreements, attendance policies, and workforce management procedures.

  • Maintain accurate documentation of audit findings, corrective actions, and process improvements.


Timekeeping System Administration



  • Utilize and support UKG (or equivalent workforce management systems) for timekeeping audits and reporting.

  • Analyze system-generated reports to identify trends, errors, inconsistencies, and compliance risks.

  • Support system testing, upgrades, and implementation of timekeeping-related enhancements when applicable.

  • Partner with Payroll, HR, and operational leaders to ensure system configurations align with business requirements and labor regulations.


Employee and Manager Support



  • Serve as a subject matter expert for timekeeping policies, procedures, and system functionality.

  • Respond to and resolve employee and manager inquiries related to timekeeping records and transactions.

  • Provide guidance and education on proper timekeeping practices and compliance requirements.

  • Deliver exceptional customer service while maintaining confidentiality and professionalism.


Reporting & Process Improvement



  • Prepare audit reports and provide recommendations to improve timekeeping accuracy and operational efficiency.

  • Identify recurring issues and proactively recommend process enhancements.

  • Assist in developing and updating timekeeping procedures, training materials, and internal controls.

  • Support organizational initiatives related to workforce management, payroll compliance, and operational excellence.


Job Requirements:


Required



  • Bachelor's Degree in Accounting, Finance, Business Administration, Human Resources, or a related field;

  • Minimum of 5 years of relevant experience in payroll, timekeeping, workforce management, auditing, or a related discipline.

  • Experience working in a complex organization with multiple employee populations and multi-entity employment structures.

  • Experience interpreting and applying labor agreements and employment policies.

  • Experience supporting unionized work environments.

  • Experience using UKG Workforce Management (UKG/Kronos) or related timekeeping systems.


Preferred



  • Experience conducting timekeeping or payroll compliance audits.

  • Experience supporting large healthcare systems with diverse workforce groups.

  • Experience developing workforce management reports and process improvement initiatives.


Preferred Certifications



  • Fundamental Payroll Certification (FPC)

  • Certified Payroll Professional (CPP)
