About the Role:

The EMEA Administration Specialist will support and coordinate key administrative processes across multiple countries within the EMEA region. Acting as a central interface between local teams, regional management, and global functions, ensuring efficient, compliant, and standardized operations. This is an individual contributor role with strong cross-functional exposure, focusing on financial tracking, process coordination, and data governance. The role will report to the EMEA Facility and Real Estate Management Lead.

What You Will Do

  • Monitor budget planning and cost tracking for EMEA administrative activities, ensuring transparency, accuracy, and alignment with regional targets

  • Coordinate and support the EMEA Purchase Order (PO) process, including creation, tracking, and compliance with internal procurement policies

  • Oversee travel administration across EMEA, ensuring efficient coordination, policy compliance, and cost optimization

  • Support internal and external audits by preparing required documentation and data

  • Maintain and govern the EMEA list of authorized representatives, ensuring accuracy, consistency, and proper documentation

  • Track and manage Occupational Health & Safety (OHS) data and reporting, supporting compliance with local regulations and internal standards

  • Assist in regional projects and cross-functional initiatives

  • Prepare reports, analyses, and presentations for management

What You Need to Be Successful

  • Degree in Business Administration, Management, or a related field (or equivalent experience)

  • 3+ years of experience in an administrative or coordination role, preferably in an international environment

  • Experience working with ERP or HR systems (e.g., SAP, Workday, or similar)

  • Strong knowledge of Microsoft Office applications, especially Excel and PowerPoint

  • Ability to work in a matrix organization and manage multiple stakeholders

  • Strong organizational and problem-solving skills

  • Excellent communication skills (written, verbal, and presentation)

  • High attention to detail and accuracy

  • Ability to manage multiple priorities and work independently

  • Strong interpersonal skills and team-oriented mindset

  • Intercultural awareness and ability to work in a global environment

  • Fluency in English is a must
