Job Description - Performance Manager

This role can be performed from Warszawa, Poland, or Prague, Czech Republic

Responsibilities

 

CRM & Data Management

  • Maintain and administer the CRM system to ensure client, contract, and service information is accurate and up-to-date.
  • Develop and optimize CRM workflows to support operational needs.
  • Provide training and support for CRM usage and data best practices.

KPI & Performance Management

  • Define and track meaningful KPIs that align with business objectives.
  • Analyze performance data to identify trends, measure results, and recommend improvements.
  • Prepare clear reports and presentations for management and clients.

Financial & Operational Reporting

  • Monitor operational budgets, expenses, and revenue performance.
  • Collaborate with finance teams to improve efficiency and cost-effectiveness.
  • Produce financial analyses, forecasts, and budget proposals.

Platform & Collaboration Tools

  • Develop and maintain collaboration platforms (e.g., Teamsites) for efficient information sharing.
  • Identify and implement tools that enhance operational performance.

Client Engagement

  • Prepare and deliver presentations showcasing performance results and value-added services.
  • Produce accurate client reports and work closely with account teams to address feedback.
  • Lead client pulse survey initiatives and follow up on improvement actions.

Change & Transition Management

  • Support the onboarding and transition of new FM accounts, ensuring smooth operational handover.
  • Facilitate change processes for technologies, workflows, and organizational updates.

Compliance & Quality

  • Ensure adherence to GxP standards, SOPs, and local regulatory requirements.
  • Collaborate with quality teams to maintain service standards.

Supplier Management

  • Assist in reviewing and improving supplier performance against agreed metrics.

Requirements

  • Proven experience in data management, including performance data, KPI tracking, and performance reporting.
  • Experience collaborating with cross-functional teams to implement performance improvement initiatives
  • Experience in Facility Management or related fields, with a preference for life sciences industry knowledge.
  • Strong understanding of the relationship between operational processes and data, with the ability to translate analytics into actionable operational improvements.
  • Proficiency with CRM systems and collaboration platforms (e.g., Microsoft Teamsites, Excel SharePoint) and PowerBI
  • Knowledge of GxP requirements, SOPs, and compliance standards relevant to FM operations.
  • Strong communication and presentation skills, with the ability to engage clients and stakeholders effectively.
  • Comfortable working cross-functionally with operations, finance, IT, and vendor management teams.
  • Problem-solving mindset with attention to detail and a proactive approach to improvement opportunities.
