Procurement Assistant

Purpose

The purpose of this role is to support the French IP Team's daily procurement operations by ensuring accurate order processing, invoice management, vendor administration, and effective coordination with suppliers and internal teams.

About the Role

We are looking for a detail-oriented and proactive Procurement Assistant to join our team in Łódź and support purchasing and invoice management activities for our French IP Team. In this role, you will help process orders, verify invoices, create vendor accounts, monitor costs, and maintain accurate documentation. You will work closely with suppliers and collaborate with purchasing, controlling, and intellectual property teams, gaining valuable hands-on experience with ERP systems (D365), Master Data Management (MDM), and international business operations in a dynamic, multicultural environment.

Your Responsibilities

• Order processing for the French team (in D365 system).


• Conducting reporting and ongoing cost monitoring.


• Verification of the accuracy of the issued invoices.


• Creating vendor accounts in the MDM (Master Data Management) system.


• Collaboration with the French patent team (IP Team).


• Collaboration with suppliers regarding invoice processing matters.


• Collaboration with the purchasing and controlling department.

Requirements

• Good basic knowledge of MS Excel (filters, pivot tables, formulas e.g. vlookup, index, countif, sum, average)


• Good command of English (min. B2 level)

Nice to Have

• Experience working with ERP systems.


• Familiarity with invoice processing and vendor management activities.


• Knowledge of French language would be an additional advantage.
