Tasks:
•Create and register tasks in the respective management software:
Register all requests of prices received in the department, email, fax, sales force or platforms
Daily analyses of electronic platforms (download new tenders terms):
Task performed every day, the department is responsible to check one platform per day, multiplied per 6 platforms
Analyze tenders terms;
Request payment for tender terms;
Prepare offers/tenders in contract/tenders management software:
Generate the final document to be sent to the customer accordingly the customer request/template
Prepare offers/tenders in the respective electronic platforms:
Upload all data, along with files and prices in each platform, depending on the customer
Prepare tenders legal documentation:
Gather all documents needed in the tender terms and create the necessary ones
Prepare samples, as per tender request:
Not all tenders have the need for samples, but when requested shall order samples, label and prepare documents the follow along with the samples
Guarantee tenders review (2 verifications – 4 eyes):
Request payment for tender process in legal entities send confirmation for the customer:
All tenders with significant value have to be validated/audited by an auditors court, to confirm the legality of the process and the company shall pay for it and have a note confirming the payment
Send letter to the customers (acknowledgment letter in case of no answer, or product not available in company´s portfolio):
Register adjudications and contracts;
Prepare insure request and similar legal documents:
Analyze the contract previous document and validate the tender value adjudicated, obligations, etc…
Fill Excel template with awarded data;
Archive tenders offers and contracts;
Support negotiations/changes in award conditions for tenders;
Read, register and forward department emails and correspondence;
Manage phone calls from internal and external customers;
Help customer service checking prices and solve overrides
Requirements:
Degree in health sciences
Mastery on Microsoft Office tools
Minimum of 2 years experience in public procurement
