Greenvolt Next Romania is seeking a Operational Department Assistant who provides administrative and coordination support to the Operations team, ensuring the smooth and efficient execution of daily departmental activities. The role is responsible for supporting operational processes, coordinating with internal stakeholders, managing documentation and reporting, and assisting with procurement-related administrative tasks. The position will play a key role in supporting the growing operational and O&M activities of the business.
Key accountabilities
•Coordinate and monitor operational documentation, reports, records, and departmental files.
•Support the preparation, submission, and tracking of Purchase Requisitions (PRs) and Purchase Orders (POs) in collaboration with Procurement and other internal stakeholders.
•Assist in managing vendor documentation, contracts, and operational records.
•Coordinate meetings, prepare agendas, and record meeting minutes when required.
•Support communication and coordination between Operations, Procurement, Finance, Asset Management, O&M, and other business functions.
•Maintain and update operational databases, trackers, and reporting tools.
•Monitor deadlines and follow up on pending actions to ensure timely completion of operational activities.
•Assist with onboarding and administrative support for new team members and external service providers.
•Support the O&M team with administrative and coordination activities as operational activities expand.
•Prepare presentations, reports, and other administrative documents as required by management.
•Ensure compliance with internal procedures and documentation standards.
