A well-established and dynamic financial advisory practice is looking for a dedicated Financial Advisor Assistant to join their close-knit team. This is a permanent, full-time position with working hours of 08:00 to 16:30, Monday to Friday, offering some flexibility.
The practice operates predominantly within the retirement space, delivering tailored financial planning and investment advice to clients. As part of a small, supportive team of four to five staff members, this role is created to partner directly with a lead Financial Advisor, taking full ownership of administrative workflows, client review prep, and compliance documentation. This role is ideally suited to a mature, detail-oriented administrator who takes pride in producing immaculate, accurate work, thrives on routine and precision, and is looking for a stable, long-term position where they can become a valued, integral part of the business.
Responsibilities:
Client Review & Meeting Preparation: Assist the Financial Advisor in preparing for client meetings and annual reviews; compile and double-check review packs, presentations, and necessary documentation accurately and timeously.
Workflow & Administrative Management: Take full ownership of day-to-day administrative tasks to free up advisor capacity; track ongoing reviews, execute follow-ups, and keep the advisor organized and ahead of schedule.
Document & File Management: Maintain meticulous, up-to-date, and confidential client files and records in line with practice standards.
Compliance & Transaction Processing: Coordinate with internal team members to ensure the smooth, accurate execution of client transactions, account maintenance, and compliance alignment.
Client & Team Support: Serve as a reliable, professional liaison for client queries, ensuring prompt, courteous service and building trusted relationships.
Requirements
4+ years’ experience in an administrative or client servicing role (experience within wealth management, financial planning, or retirement is advantageous, but full industry training will be provided).
Proven track record of exceptional attention to detail, accuracy, and organizational skills.
High proficiency in the Microsoft Office Suite (Excel, Word, Outlook).
Strong written and verbal communication skills with a professional, client-centric approach.
Highly reliable, proactive, and genuinely content in a dedicated, pure administrative role.
Ability to manage repetitive, detail-heavy workflows efficiently and independently in a fast-paced environment.
