Job Description - Receptionist

Position: Receptionist

Incomar is an aerospace and defence company based in Centurion, South Africa. We are continuously expanding our specialised product development and flight operations capabilities. The group was established in South Africa in 1999, with its origins in military aircraft weapons and avionics integration and flight testing. The company is well established in the local and international industry, with a strong capability in several specialist areas, including:




  • Systems Design, Development, and Integration.

  • System Testing on a range of platforms / products.

  • Product Development.

  • Flight Test Execution and Support.



Incomar is seeking a professional, friendly and highly organised Receptionist to serve as the first point of contact for the company. This role combines front-desk excellence with proactive administrative support across the organisation.



Required Qualifications:



  • Matric Certificate (Grade 12) or equivalent.

  • Police Clearance Certificate (required prior to commencement of employment).



Required Skills and Experience:



  • Minimum of 1-2 years’ experience in a receptionist, administrative, or customer-facing role.

  • Experience with phone systems, office equipment, or basic inventory management is preferred.

  • Proficiency in Microsoft Office (Word, Excel, Outlook) and basic telephone / switchboard systems.

  • Familiarity with booking or inventory software (e.g., Outlook Calendar, ERP systems) is a plus.

  • Understanding of office etiquette, basic security protocols, and administrative processes.

  • Customer Service: Friendly and approachable demeanour to create a positive first impression.

  • Communication: Strong verbal and written skills for professional interactions.

  • Organisational Skills: Ability to multitask and manage front desk operations efficiently.

  • Attention to Detail: Accuracy in message-taking, record-keeping, and asset tracking.

  • Proactivity: Initiative to anticipate needs and resolve issues independently.


 


Responsibilities:



  • Maintain office security by following safety procedures and controlling access through the reception desk.

  • Welcome and receive visitors with a friendly, professional demeanour, creating a positive first impression.

  • Verify visitor purpose and direct them efficiently to the appropriate personnel or meeting areas.

  • Answer, screen, and route incoming telephone calls professionally; take accurate messages and follow up on urgent matters to ensure timely action.

  • Manage all communications (phone, email, and in-person) with politeness, professionalism, and strict confidentiality.

  • Receive, verify, and process incoming deliveries (packages and supplies), notifying the Stores department or relevant staff promptly.

  • Deliver proactive and comprehensive administrative and clerical support across the organisation, including accurate data entry and record management, filing and retrieval of documents, scheduling appointments, interviews and meetings, coordinating events and training sessions, preparing correspondence and basic reports, and handling other ad-hoc administrative tasks to ensure smooth and efficient operations.

  • Report any suspicious activity or security breaches immediately to management or security personnel.

  • Maintain an accurate visitor log for all arrivals, departures, and visit purposes.

  • Ensure the reception area remains tidy, professional, and well-stocked with necessary materials and information at all times.
