Job Description - Part-time Legal PA

An established Advocate of the High Court is seeking a sharp, trustworthy, and highly organised Legal Administrative Assistant / Executive PA to join her practice on an initial 3-month fixed-term contract (with the intention to convert to permanent for the right candidate). This is a part-time position requiring 20 hours per week with flexible scheduling Monday to Friday (mornings or flexible daily hours), operating on a hybrid arrangement (80% remote / 20% in-office).

The position is ideal for a proactive individual with strong legal or executive administrative acumen who can seamlessly manage daily time-capture billing, client communications, digital court filings, tax coordination, and general practice support.

Key Responsibilities:


  • Billing & Time Capture (Auxcon): Populate daily billable hours, generate invoices, and issue billing reports using Auxcon legal software (training provided).
  • Payment Reminders & Admin: Act as a courteous point of contact; handle gentle reminders and telephonic/online follow-ups for outstanding client payments.
  • Electronic Court File Preparation: Source legal documents and case law (training provided); assemble, paginate, index, bookmark, OCR, and compile combined PDF bundles in Adobe.
  • Inbox Screening & Summaries: Screen incoming emails (including trustee/volunteer correspondence), summarize key action items, and draft response notes.
  • Accounting & Tax Coordination: Collect and organize tax-deductible expense records; liaise directly with external accountants for bi-monthly VAT and bi-annual provisional tax submissions.
  • Digital Filing & Case Progress: Maintain an intuitive, structured cloud filing system for easy document retrieval and assist with ongoing case progress reporting.
  • Errands & In-Office Support: Provide occasional in-person administrative support (approx. 20%) and assist with local practice errands as required.


Requirements



  • Exceptional command of written and spoken English with a warm, diplomatic communication style.
  • Strong digital proficiency (MS Office suite, email management, Adobe Acrobat, and cloud filing).
  • Willingness and capability to learn specialised legal software (Auxcon).
  • High attention to detail, patience, and a methodical approach to admin and filing.
  • Valid Driver’s License and reliable personal vehicle.
