THE OPPORTUNITY

This position is part of the Abbott Diabetes Care (ADC) division, which develops life‑changing technologies that help people with diabetes live healthier, fuller lives.


The role is based within the Barcelona IT Hub, a dynamic, international and highly collaborative environment that supports strategic digital and technological initiatives across the organization.

WHAT YOU’LL DO

  • Manage day‑to‑day office operations, including supplies, vendors, facilities and operational budget.

  • Organize and coordinate meetings, workshops, events, and team activities end‑to‑end (internal and external).

  • Coordinate logistics for internal and external visitors, ensuring professional representation of Abbott.

  • Provide structured executive and administrative support (calendar, travel arrangements, presentations, reporting, expenses, documentation).

  • Act as a liaison between the Barcelona office and regional teams, ensuring alignment and communication across offices.

  • Support the preparation and coordination of RCEs and other corporate documentation.

  • Assist with assigned projects, monitor deliverables and contribute to process improvements.

  • Support data gathering, documentation and reporting activities.

  • Ensure compliance with corporate policies and maintain strict confidentiality.

REQUIRED QUALIFICATIONS

  • 2–3 years of experience in office coordination, administrative support, or executive assistance.

  • Advanced English proficiency, both written and spoken, for effective communication with regional teams.

  • Strong command of Microsoft Office 365 (Outlook, Excel, PowerPoint, Teams, SharePoint).

SKILLS / PREFERRED QUALIFICATIONS

  • Office Operations & Organization: Strong ability to manage office supplies, vendors, facilities, and event logistics while maintaining excellent planning and prioritization skills.

  • Executive & Administrative Support: Proficient in calendar management, travel coordination, expense reporting, and preparing presentations and documents.

  • Communication & Cross‑Team Collaboration: Clear, professional communicator able to coordinate effectively with internal teams and regional offices.

  • Proactivity & Problem‑Solving: Anticipates needs, resolves issues independently, suggests process improvements and consistently maintains confidentiality.
