Job purpose
The Receptionist provides a welcoming and professional first point of contact for visitors and callers, manages front desk operations, supports administrative tasks, and ensures a clean, organized, and secure reception area. This role is key to maintaining smooth communication and a positive image of the organization.
Job responsibilities
Welcome visitors in a positive & friendly manner and helpful attitude, and answer any questions visitors have
Answer and direct phone calls in a polite and friendly manner
Timely notifying company personnel of visitor arrival
Maintain reception area and all common areas in a clean and tidy manner at all times
Operate standard office equipment on a regular basis, including a copy machine and a computer.
Keep detailed and accurate records of visitor requests and of calls received through the system or log.
Receive deliveries; sort and distribute incoming mail
Take inventory of supplies and restock as needed
Ensure the visitor does not wait for the company personnel for more than 5 mins.
Ensure all tenant and visitor meetings are held in the meeting rooms.
Maintains security and telecommunications system.
Directs visitors by maintaining employee and department directories.
Maintains by following procedures, entering visits in the system, and issuing visitor badges (if required).
Operates telecommunication system by following manufacturer’s instructions for house phone and console operation.
Contributes to team effort by accomplishing related results as needed.
Ensuring guests / visitors are always greeting and served refreshments.
Organize and coordinate the day-to-day schedule of the CEO, including appointments, meetings, and travel arrangements
Coordinate with Marketing and other relevant departments for company events, workshops, activities and exhibitions, ensuring all logistics are handled efficiently.
Share meeting agendas, minutes, and project materials with the leadership team before deadlines.
Handle confidential information with discretion and professionalism.
Greet and Assist CEO visitors with a courteous and professional demeanor, ensuring they feel valued and attended to promptly.
Manage travel and all other reimbursement records, ensuring all claims are processed.
Educational Qualification
Bachelor’s degree/Diploma
Work Experience
3 to 5 years’ experience in similar or same position.
