Position Purpose:

The Academic Planning Coordinator supports institutional student success and timely graduation by administering the university’s junior-level degree audit process, overseeing academic course forecasting and scheduling operations, and maintaining institutional degree audit system functionality. The position integrates complex academic policies, curriculum structures, student information system data, and institutional planning priorities to ensure accurate degree progress evaluation, efficient course forecasting and scheduling, and compliance with university, system, state, and federal requirements.

The role exercises independent professional judgment in interpreting academic policy, resolving complex audit and scheduling issues, and implementing operational improvements that directly impact student progression, institutional reporting accuracy, and instructional resource utilization.

Responsibilities:

Responsibility #1: Degree Audit Administration & Student Progress:

Administers the institutional junior audit process to ensure accurate evaluation of student progress toward degree completion.

  • Conduct comprehensive junior-level degree audits using institutional standards and established review methodologies.
  • Interpret curriculum requirements, catalog year applicability, residency rules, and academic policies to determine student eligibility for progression and graduation milestones.
  • Identify complex discrepancies including policy conflicts, curriculum changes, enrollment breaks, prerequisite sequencing issues, and academic record inconsistencies.
  • Determine appropriate resolutions within established policy authority and escalate only cases requiring formal academic exceptions or policy interpretation beyond established precedent.
  • Initiate coordinated interventions with students, advisors, and academic departments to address risks to timely graduation.
  • Establish audit documentation standards ensuring institutional compliance and audit traceability.
  • Analyze recurring audit issues and recommend procedural or policy adjustments to improve institutional outcomes.

Responsibility #2: Degree Audit System Administration:

Serves as institutional functional administrator for the degree audit system.

  • Translate catalog language, curriculum proposals, and academic policies into audit coding logic and system rules.
  • Maintain and update undergraduate and graduate program requirements within the audit system.
  • Troubleshoot complex system issues resulting from curriculum revisions, MnTC requirements, program restructuring, or policy changes.
  • Ensure compliance with Minnesota State policies, accreditation expectations, and regulatory requirements affecting degree certification.
  • Provide authoritative interpretation of audit results and system functionality to advisors, faculty, and administrators.
  • Recommend system or process enhancements improving audit accuracy and usability.

Responsibility #3: Academic Scheduling & Classroom Utilization Leadership:

Administers and coordinates institutional academic scheduling processes supporting instructional delivery and enrollment management goals.

  • Analyze and forecast course demand using degree audit data, enrollment trends, curriculum requirements, and historical scheduling patterns to inform academic scheduling and course capacity planning.
  • Develop and implement semester scheduling timelines, processes, and operational expectations aligned with institutional enrollment and completion goals.
  • Coordinate schedule development with deans, chairs, faculty, and staff, integrating competing academic priorities with data-informed projections of student need.
  • Exercise decision-making authority in resolving scheduling conflicts involving course demand, room capacity, modality requirements, and instructional constraints.
  • Assign classrooms using EMS and institutional utilization standards, aligning instructional needs with available space to maximize efficiency and student access.
  •  Monitor and evaluate classroom utilization, course fill rates, and scheduling patterns; identify inefficiencies and implement process improvements.
  • Generate and analyze reports on enrollment trends, course demand, and space usage to support continuous improvement and institutional planning efforts.
  • Provide training, guidance, and consultation to academic departments on scheduling practices, data interpretation, and strategies to align course offerings with student demand.
  • Recommend and implement changes to scheduling practices that improve course availability, reduce bottlenecks to degree completion, and optimize instructional resource utilization.

Salary Range:

Rates effective July 1, 2026:

$47,845-$93,809 annually.

Minimum Qualifications:

Bachelor’s degree plus two (2) years of professional experience in higher education, student records administration, academic advising, curriculum management, or a related field; Master’s degree plus one (1) year of related professional experience; OR three (3) years related professional experience demonstrating:

  • Knowledge of complex academic policies, curriculum structures, and student information systems.
  • Ability to interpret and apply institutional, system, and regulatory requirements.
  • Experience integrating data and policies across multiple functional areas.
  • Strong analytical, communication, and problem-solving skills.

Preferred Qualifications:

  • Master’s degree
  • Experience administering degree audit or student information systems.
  • Experience with course forecasting and scheduling systems
  • Experience leading cross-departmental process improvements.
  • Experience translating curriculum/catalog requirements into system logic.
