Administrative Assistant

Position Overview

JAN-PRO of Tucson is seeking a highly organized, customer-focused Administrative Assistant to serve as the first point of contact for customers, Certified Business Owners (CBOs), vendors, and visitors. This role plays a critical part in keeping the office running smoothly while supporting franchise operations, customer service, and day-to-day administrative functions.

The ideal candidate is proactive, detail-oriented, thrives in a fast-paced office environment, and enjoys helping both internal teams and franchise owners succeed.

Bilingual proficiency in English and Spanish is required, as this position regularly supports both English- and Spanish-speaking customers and franchise owners.

Key Responsibilities

Office Administration

• Serve as the primary point of contact for incoming phone calls, emails, and office visitors.


• Maintain a welcoming, organized, and professional office environment.


• Provide administrative support to the Regional Director and office team.


• Manage office supplies, equipment, and general office operations.


• Coordinate incoming mail, documents, and other administrative tasks.

Customer & Franchise Owner Support

• Assist customers and Certified Business Owners with general questions and service requests.


• Prepare onboarding documents and welcome materials for new customers and franchise owners.


• Maintain accurate customer and franchise owner records.


• Coordinate supply orders and assist with day-to-day operational requests.


• Route inquiries to the appropriate team members while providing exceptional customer service.

Administrative Coordination

• Process routine paperwork, invoices, and business documentation.


• Assist with payment processing and other administrative financial tasks.


• Maintain organized records while ensuring confidentiality.


• Support lead distribution and administrative coordination between departments.


• Assist with special projects and additional administrative responsibilities as needed.

Qualifications

Required

• Bilingual in English and Spanish (required).


• High school diploma or equivalent.


• Strong verbal and written communication skills.


• Excellent organizational skills and attention to detail.


• Proficiency with Microsoft Office (Word, Excel, Outlook).


• Ability to prioritize multiple tasks in a fast-paced environment.


• Professional, dependable, and customer-focused attitude.

Preferred

• Previous experience in an administrative assistant, receptionist, customer service, office coordinator, or similar administrative support role.


• Experience supporting multiple departments within an office environment.


• Experience coordinating schedules, records, or office operations.


• Experience working in a franchise, service, or small business environment.

Physical Requirements

• Primarily office-based role requiring prolonged computer use.


• Ability to communicate effectively by phone, email, and in person.


• Ability to perform the essential functions of the position, with or without reasonable accommodation.
