Peters Township seeks a detail-driven Administrative Assistant to help manage our daily financial transactions, ensure accuracy within all reports, and support Township adherence to all financial requirements. As part of a supportive and collaborative team within the Business Department, this position will act as a steward of the Township’s finances ensuring documented, responsible use of resources to invest in our community and our residents. In this position, strong communication skills are a must as this role will partner with Departments to ensure their understanding and compliance with the payables process, while serving as the first point of contact for troubleshooting both internally and externally with vendors. The top six (6) qualified candidates will be invited to interview, interviews will take place on Tuesday, November 3, 2026.
Responsibilities:
Prepare for approval and submission all Township Invoices
Coordinate multi-level invoice approvals with the Township Manager and Assistant Manager
Facilitate the accurate Transfer of Funds using industry leading finance software
Issue invoices for Township provided services including police, and recreational programs
Coordinate school year billing for School Resources Officers and manage monthly allocations with the Intermediate Unit
Administer mechanical device tax billing and inspect devices throughout the township
Perform daily Journal entries and record deposits to reconcile fund accounting software with bank statement balances
Execute authorized fund transfers and electronically enter corresponding journal entries/transactions
Perform daily journal entry and bank statement matching within the fund accounting system to ensure exact balance
Track and maintain active vendor records and ensure 1099 compliance
Generate year end general ledger and financial reports for external auditors; assist in answering audit inquiries
Serve as a primary point of contact to investigate and resolve routine internal and external inquiries regarding payable, receivables, etc.
Qualifications:
Education: Associate’s degree or equivalent in Finance, Accounting, or related field is required.
Experience: Minimum of two years of experience in related role(s). Previous experience in municipal government or specifically with government accounting is highly desirable.
Skills: Strong knowledge of generally accepted accounting principles (GAAP) and accounts payable processes; proficiency in Excel/Microsoft Suite; high level of organization and attention to detail.
