Job Description - Administrative Assistant - Rottschafer Wealth Solutions

About Us

We are a client-focused financial planning firm dedicated to delivering personalized advice and high-quality service. We are seeking a detail-oriented Administrative Assistant who is experienced in financial services operations and enjoys working in a fast-paced, client-driven environment.

Key Responsibilities

  • Handle inbound and outbound client calls in a professional and timely manner
  • Manage advisor calendars and client scheduling using Redtail CRM
  • Utilize Wealthscape through NFS to support account servicing and operations
  • Open and maintain client accounts, ensuring accuracy and completeness
  • Work directly with custodians and product companies to process and service accounts
  • Assist with client onboarding and documentation
  • Maintain organized and compliant client records

Additional Information

Introductory Period: The first 90 days of employment will serve as an introductory period focused on training, system proficiency, and demonstration of accurate, independent job performance.

    • Proficiency with Wealthscape through National Financial Services (NFS)
    • Experience using Redtail CRM for scheduling and client management
    • Strong organizational skills and attention to detail
    • Excellent communication and client service skills
    • Ability to multitask and prioritize in a fast-paced environment
    • Must be willing to be fingerprinted and pass a background check

 Preferred

    • Prior experience in a financial advisory or wealth management firm
    • Familiarity with account opening, transfers, and servicing workflows
    • Understanding of brokerage or advisory operations
