Job Summary

***Please Note this is a contract/Temporary Role intended to last 2-3 months.Position could turn into permanant role after contract****


 


We are seeking an experienced Temp Administrative Assistant  for our Safety Assessment site located in Reno, Nevada. 


Provide basic administrative support to manager(s) and their organizations.


 


ESSENTIAL DUTIES AND RESPONSIBILITIES:  
 



  • Receive and distribute mail. Take phone messages and handle routine matters as they arise.

  • Greet visitors, set up and maintain management calendars, prepare expense reports, handle scheduling for one or more conference rooms, order office supplies, ensure office machinery is maintained and/or handle mail and shipping activities for the department.

  • Make meeting and travel arrangements.

  • Relay information and requests to department members and follow-up as needed.

  • Collate and distribute information.

  • Prepare routine documents and forms as requested.

  • Handle special projects and duties as needed (for example, data collection, report creation, database maintenance, contacting personnel for routine updates, etc.).Establish and maintain files.

  • Answer questions and provide assistance relating to office operations and established policies and procedures.

  • Assist with phone coverage for others as needed.

  • Perform all other related duties as assigned.

     


QUALIFICATIONS:
 


•    Education:  High School or G.E.D. and specialized secretarial training beyond High School.  Associate’s degree (A.A. /A.S.) or equivalent from two year college preferred.
•    Experience:  Two or more years of experience preferred
•    An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.
•    Certification/Licensure:  None.
•    Other: Must be detail-oriented and have good verbal and written communication skills. Must have intermediate computer skills and knowledge of Microsoft Office software. Able        to work on assignments that are semi-routine in nature in which ability to recognize deviation from accepted practice is required. Able to receive and understand general                  instructions on routine work and detailed instructions on new assignments.
