Your Role in the Blueprint:
The Administrative Coordinator serves as the administrative hub of the Construction Department, providing executive support to the Vice President of Construction while assisting Project Managers, Estimators, Superintendents, and other department personnel as needed. This role coordinates daily administrative operations, maintains departmental organization, supports construction projects, and helps ensure the department operates efficiently.
The ideal candidate is highly organized, detail-oriented, adaptable, and enjoys working in a fast-paced environment where priorities can shift from day to day.
What You'll Build
Provide executive administrative support to the Vice President of Construction.
Coordinate department meetings, schedules, and communications.
Prepare reports, spreadsheets, presentations, meeting minutes, and professional correspondence.
Serve as the primary administrative resource for the Construction Department.
Coordinate project documentation, permit administration, and municipal correspondence.
Maintain project tracking spreadsheets and departmental records.
Support recruiting, interviewing, onboarding, and new employee setup.
Coordinate large-format printing, jobsite signage, and department office resources.
Order and maintain office supplies.
Develop and maintain forms, templates, tracking tools, and administrative procedures.
Assist with department communications, special projects, and process improvements.
Perform additional administrative duties and provide support wherever needed to meet the changing needs of the Construction Department.

Your Foundation
Five or more years of administrative, executive assistant, project coordination, or office management experience preferred.
Familiarity with construction projects, terminology, and administrative processes.
