Position Summary
The Administrative Coordinator provides operational, logistical, and programmatic support to the National Institute for Translational Science (NITS), the Center for Data Analytics (CDA), and the Center for Experiential Learning (CEL). This role ensures efficient daily operations, supports faculty and student engagement, manages program workflows, and strengthens institutional capacity for research, applied learning, and community partnerships.
Key Responsibilities
Program Administration & Operations
- Coordinate daily administrative operations for NITS, CDA, and CEL.
- Maintain program calendars, schedules, and timelines.
- Support development and implementation of program procedures.
- Assist with preparation of annual reports and compliance documentation.
Budget, Procurement & Resource Management
- Track expenditures and support budget monitoring.
- Prepare purchase requests, travel authorizations, and reimbursements.
- Maintain inventory of equipment and supplies.
- Assist with grant-related administrative tasks.
Faculty, Student & Partner Support
- Serve as a primary administrative contact for faculty, students, and partners.
- Support onboarding and coordination of student research assistants and interns.
- Assist with communication regarding program opportunities and deadlines.
- Coordinate logistics for meetings and collaborations.
Research & Experiential Learning Logistics
- Provide administrative support for research activities.
- Assist with coordination of experiential learning placements.
- Support development of program materials.
Event & Workshop Coordination
- Plan and execute program events.
- Manage event logistics including space reservations and technology setup.
- Prepare agendas, minutes, and follow-up documentation.
Communications & Reporting
- Draft and distribute program communications.
- Maintain program websites and digital platforms.
- Collect and organize data for program evaluation.
- Support creation of presentations and reports.
Required Qualifications
- Bachelor’s degree in a relevant field.
- 2–3 years of administrative experience.
- Strong organizational and communication skills.
- Proficiency with Microsoft Office Suite.
- Ability to work independently and maintain confidentiality.
Preferred Qualifications
- Experience supporting academic research or experiential learning programs.
- Familiarity with compliance processes.
- Knowledge of higher-education administrative operations.
