Job Description - Administrative Specialist - Police Department

Elk Grove Village, Illinois, (pop. 33,127), a strategically located, progressive community that is home to the largest consolidated business park in North America, is seeking a dynamic, detailed and skills-oriented candidate for the position of Administrative Specialist in the Police Department.  Elk Grove Village is located in Cook and DuPage Counties adjacent to O’Hare International Airport and is home to approximately 3,600 businesses, located in its 5.4 square mile Business Park.  


 


The Administrative Specialist provides administrative, technical, and logistical support for Police Department operations, with primary responsibility for coordinating training programs, maintaining compliance records, supporting crime prevention initiatives, assisting with community outreach efforts, and providing administrative support to the Support Services Division. This position serves as a key resource in ensuring compliance with Illinois Law Enforcement Training and Standards Board (ILETSB) requirements, maintaining accurate training records, coordinating departmental programs, and supporting a variety of public safety and community service functions.


 


KEY RESPONSIBILITIES:




  • Coordinates department training programs, including scheduling, registration, documentation, and record maintenance to ensure compliance with departmental and regulatory requirements.

  • Maintains compliance with Illinois Law Enforcement Training and Standards Board (ILETSB) mandates by tracking training requirements, certifications, and officer training records.

  • Manages training records and reporting systems, ensuring the accuracy, completeness, and accessibility of training, certification, and compliance documentation.

  • Provides administrative and logistical support for departmental operations, including scheduling, correspondence, records management, data entry, and customer service.

  • Coordinates and supports departmental programs and initiatives, including crime prevention efforts, community outreach activities, and public education programs.

  • Provides administrative support for social service, adjudication, and court-related functions, including program coordination, recordkeeping, and public assistance.

  • Maintains records and administrative processes associated with specialized departmental programs, including drone operations, range activities, and other regulatory or compliance-related functions.

  • Collaborates with department personnel, external agencies, community organizations, and the public to support training, outreach, public safety, and operational objectives.


 


MINIMUM QUALIFICATIONS: Possess a high school diploma or GED (associate's or bachelor's degree preferred) and at least two years of administrative, coordination, or support experience, preferably in a public safety or government setting. Candidates should demonstrate strong organizational, communication, and computer skills, including proficiency with Microsoft Office and the ability to learn specialized software systems.


 


Experience with law enforcement training compliance, adjudication or court processes, and crime prevention or community-based programs is desirable. The ability to maintain confidential information is required.



LICENSES AND CERTIFICATIONS:  Possess a valid State of Illinois Driver’s License and safe driving record.


 


HOURS OF WORK:   37.5 hours per week                OPENING DATE: June 4, 2026


STARTING WAGE:   $62,657 - $88,859                    CLOSING DATE: Open until filled


 


This position qualifies for an Illinois Municipal Retirement Fund (IMRF) pension.
