Position Summary: We are seeking an empathetic and highly organized Admissions Coordinator to manage the resident intake process. You will serve as the primary point of contact for incoming residents and their families, guiding them through the transition into long-term care. You will collaborate with nursing, medical, and accounting teams to ensure admissions are processed accurately and efficiently.
Key Responsibilities:
Assist in implementation of the sales and marketing for telephone sales to generate prospective residents to groups in the area such as insurance or medical professionals, senior organizations, special interest groups, hospital discharge planners or other community contacts.
Develop and maintain medical and senior focused relationships and advise them of bed availability or new products and services.
Implement or assist in special events or presentations targeted at education and promotion of our health care and rehabilitation abilities
Respond appropriately and timely to inquiry calls from hospitals, families, or others. Share only established marketing materials that describe our services and accomplishments and conduct tours as needed.
Obtain required information for staff review, coordinate and participate in determination of admission acceptance
Daily monitor and follow up on all active inquiries, using the prospect database system as directed
Responsible for admission denial protocol
Coordinate admission process with discharging facility and resident and/or family or responsible party. Inform appropriate staff of upcoming admissions.
Complete appropriate admission documents and obtain required signatures prior to or on date of admission.
Provide completed admission file to Social Services and Business Office manager as stated in policies and procedures
Maintain a working knowledge of federal and state regulations, as related to the position, reimbursement (Medicare and Medicaid and commercial)
Ensure compliance with all regulations from DHEC, Fire and Safety, OSHA, Labor Laws, etc and adhere to HIPAA confidentiality standards and Resident's Rights.

Qualifications:
Experience: Minimum 1-2 years of experience in a healthcare, long-term care, or social services admissions role.
Knowledge: Familiarity with long-term care Medicare, Medicaid, and third-party reimbursement requirements.
Skills: Excellent communication, conflict resolution, and multitasking skills.
Ability to make direct sales calls, facilitate and make public presentations
Understanding of reimbursement programs including Medicare, Medicaid, VA as well as other legal policies and resident rights
Understanding of physical and psychological effects of the aging process and ability to be respectful and tactful with potential clients, residents, family members, visitors, government agencies and general public.
Detail oriented
Ability to make decisions, follow instructions and accept constructive feedback
Strong communication skills
Computer skills including Microsoft Office, contact or admissions database system
