Job Description - Admissions Specialist


 

The Aaron Center is seeking a detail-oriented and compassionate Admissions Specialist to join our growing team. As the first point of contact for new patients and referral sources, you will play a vital role in ensuring individuals receive timely access to quality behavioral healthcare. Position Summary

The Admissions Specialist is responsible for coordinating the patient admission process from initial inquiry through scheduling the intake appointment. This role ensures patient charts are complete, insurance eligibility is verified, required documentation is obtained, and patients are prepared to begin services efficiently.

 

Position: Admissions Specialist

Location: Scranton, PA

Pay Range:  $18.00 to $22.00 / hour 

 Key Responsibilities: 

  • Serve as the primary administrative point of contact for prospective patients and referral sources.
  • Respond to patient and referral inquiries regarding services.
  • Verify insurance benefits and financial eligibility prior to admission.
  • Obtain outpatient service authorizations from insurance companies.
  • Create and maintain patient charts within the electronic health record system.
  • Ensure all required admission documentation is completed before services begin.
  • Schedule new patient intake evaluations.
  • Coordinate with clinical staff to facilitate a smooth admission process.
  • Track and report admissions metrics, including:
    • Number of intake calls received.
    • Number of intake appointments scheduled.
    • Number of completed intake appointments.
    • Referral sources.
  • Maintain accurate records while protecting patient confidentiality.
  • Perform additional administrative duties as assigned to support organizational needs.

Qualifications

  • High school diploma or GED required.
  • Minimum of one year of experience in a high-volume medical office, healthcare practice, or provider setting.
  • Experience with insurance verification, scheduling, customer service, and answering multi-line phone systems preferred.
  • Experience using electronic health records (EHR) systems is preferred.
  • Proficiency with Microsoft 365 or comparable office software.

  • Ability to prioritize tasks and work efficiently in a fast-paced environment.
  • Strong problem-solving skills and attention to detail.

  • Ability to build positive relationships with patients, referral sources, and coworkers.
  • Ability to read, write, speak, and understand English.

Work Environment

  • Office-based position.
  • Primarily sedentary work with extended periods of sitting.
  • Occasional lifting of up to 10 pounds.
  • No travel required.
