After School Program Coordinator

Silverlake The Family Place is seeking an energetic, organized, and dependable After School Program Coordinator to lead the daily operations of our After School Program. This position is responsible for creating a safe, structured, engaging, and positive environment for school-age children while providing excellent service to parents and families.

The After School Program Coordinator oversees the day-to-day operation of the program, including supervision of children and staff, daily activities, transportation coordination, attendance, parent communication, and compliance with all applicable licensing and safety requirements.

This is a hands-on leadership position. The Coordinator is expected to be actively involved with participants and staff, lead by example, solve problems as they arise, and ensure that Silverlake's standards for safety, supervision, professionalism, and customer service are consistently maintained.

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Coordinate and oversee the daily operation of Silverlake's After School Program.
• Provide active supervision of children and maintain a safe, structured, and welcoming environment.
• Supervise, train, coach, and provide daily direction to After School Program staff.
• Ensure appropriate staff-to-child ratios and proper supervision are maintained at all times.
• Assist with hiring, onboarding, scheduling, training, and performance management of program staff.
• Plan and coordinate age-appropriate daily activities, including games, physical activities, crafts, homework time, and use of Silverlake amenities.
• Develop weekly and seasonal activity plans that keep participants engaged and provide variety throughout the school year.
• Coordinate school pickups and transportation procedures, including participant lists, attendance, vehicle assignments, and communication regarding schedule changes.
• Maintain accurate daily attendance and ensure proper check-in and check-out procedures are followed.
• Ensure children are released only to authorized individuals in accordance with Silverlake policies.
• Communicate professionally and consistently with parents regarding program information, schedules, participant needs, behavioral concerns, incidents, and other important updates.
• Build positive relationships with participants and families and respond promptly and professionally to questions or concerns.
• Address participant behavioral issues appropriately and consistently while communicating significant or recurring concerns to parents and the Youth Programs Director.
• Ensure staff understand and consistently enforce program rules, expectations, and safety procedures.
• Maintain accurate participant records, emergency information, authorized pickup information, and required program documentation.
• Ensure all required incident and accident reports are completed accurately and promptly.
• Monitor program areas for cleanliness, organization, safety, and appropriate setup.
• Ensure snacks, supplies, equipment, and activity materials are available and properly maintained.
• Assist with ordering and managing program supplies while remaining mindful of established budgets.
• Coordinate with other Silverlake departments when utilizing the gymnasium, pools, Active Entertainment Center, outdoor areas, or other club amenities.
• Assist with planning and execution of school-break programming, special activities, and other Youth Programs as needed.
• Maintain confidentiality regarding children, families, and employees.
• Immediately communicate significant safety, staffing, behavioral, transportation, or operational concerns to the Youth Programs Director.
• Help create a positive, professional, accountable, and team-oriented work environment.
• Perform other duties as assigned by the Youth Programs Director or management.

SAFETY & SUPERVISION RESPONSIBILITIES

The safety and well-being of children is the highest priority of this position. The After School Program Coordinator is responsible for ensuring that:

• Children are actively supervised at all times.
• Staff are positioned appropriately throughout program areas.
• Attendance and head counts are completed consistently, particularly when transitioning between areas.
• Transportation and school pickup procedures are followed exactly.
• Emergency and safety procedures are understood by all staff.
• Injuries, incidents, behavioral concerns, or unusual situations are documented and communicated appropriately.
• Program spaces and equipment are inspected for potential safety concerns.
• Staff maintain appropriate professional boundaries and interactions with participants.
• All applicable Silverlake policies and licensing requirements are followed.

QUALIFICATIONS

• Previous experience working with school-age children required.
• Previous experience in childcare, afterschool programming, recreation, education, camps, or youth programming strongly preferred.
• Previous supervisory or leadership experience preferred.
• Ability to effectively lead and supervise both children and employees.
• Strong organizational and time-management skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Excellent communication and customer-service skills, particularly when communicating with parents.
• Ability to handle behavioral concerns and difficult situations calmly and professionally.
• Dependable, punctual, and able to maintain consistent attendance.
• Basic computer and administrative skills for attendance, scheduling, communication, and recordkeeping.
• Must meet all applicable state licensing and background-check requirements.
• CPR, First Aid, and other required certifications must be maintained as applicable.
• Valid driver's license and acceptable driving record required if responsible for transporting participants.

SCHEDULE

This position primarily works Monday through Friday during after-school hours (2PM to 6PM), with additional hours required for planning, staff meetings, training, school breaks, special programs, or events.

Availability during school breaks and other Youth Program activities may be required based on the needs of the department.

PHYSICAL REQUIREMENTS

This position requires frequent standing, walking, bending, reaching, and active participation in youth activities. The employee must be able to move throughout Silverlake's facility, including indoor and outdoor recreation areas, and respond quickly when participant safety requires intervention.

The position may require lifting and carrying program supplies or equipment and working in environments that include pools, gymnasiums, outdoor recreation areas, and other active spaces.
