Alumni & Family Experience Manager (Events Manager)

Founded in 1905 and serving over 1,000 day and boarding students from across the United States and all over the world, McCallie is one of the country’s premier independent schools and a national leader in educating boys in grades 6-12. Position Summary:
The Alumni & Family Experience Manager designs and delivers meaningful experiences, curated events, and programs that deepen connections, inspire engagement, and strengthen long-term relationships with McCallie alumni, current and past parents, grandparents, faculty, students, and friends. This individual will help advance McCallie’s vision by strategically developing engagement efforts that shape the McCallie experience today and for generations to come. Through this work, the position will reinforce McCallie’s enduring brotherhood, community, and culture as the school seeks to serve as a companion and resource for life. The position requires both creativity and strong execution, using experiences and events as opportunities to deepen relationships, strengthen affinity, increase engagement, and inspire philanthropic support.

The Alumni & Family Experience Manager will work closely with the Development Team to engage defined constituent groups. This individual will stay abreast of best practices in engagement, event management, and relationship development while using feedback and data to continuously improve the McCallie experience.

This is a year-round, 12-month, full-time, exempt under the FLSA, position eligible for full benefits.

Primary Responsibilities:

Key Function #1 - Event Execution and Relationship Development 

• Serve as project manager for assigned Development events and experiences, coordinating internal partners, volunteers, vendors, and external resources while managing timelines, budgets, communications, logistics, and follow-up with a keen eye for detail and excellence in execution.
• Identify opportunities within events and experiences to strengthen relationships and create pathways for deeper involvement, volunteerism, stewardship, and philanthropy.
• Ensure appropriate post-event follow-up, including CRM data integrity, attendance and engagement records, and timely stewardship communication.

Key Function #2 - Visioning and Strategy

• Contribute to the vision and strategic direction for McCallie’s alumni and family engagement experiences, helping imagine what a “remarkable” McCallie experience can look like at every stage of a constituent’s relationship with the school.
• Bring creativity, curiosity, and a willingness to challenge assumptions, continually seeking ways to make experiences more meaningful, relevant, and memorable.
• Assist or advise with other significant school events as requested from time to time by the Head of School.

Key Function #3 - Continuous Improvement and Evaluation

• Evaluate the portfolio of events and experiences and recommend opportunities to expand, redesign, streamline, or discontinue efforts based on strategic value, feedback, engagement data, and available resources.
• Establish consistent evaluation and feedback processes and use data and team observations to continuously refine and improve events, programs, and experiences.

• Strong interpersonal skills and ability to develop meaningful, trusting relationships with constituents across diverse backgrounds and generations, internal partners, volunteers, and vendors while maintaining strict confidentiality.
• Comfortable working independently while also functioning effectively as part of a collaborative team.

•  Bachelor’s degree preferred.
• Demonstrated ability to manage events and projects from strategic planning through execution and evaluation, with strong attention to detail and an eye for design.
• Demonstrate professionalism and integrity, being mindful that you are representing McCallie’s brand of Honor, Truth, and Duty, on and off campus.
• 5+ years of experience in event planning, engagement, relationship management, fundraising, hospitality, sales/business development, or a related field.
• Some travel required, along with occasional evening and weekend work.
• Excellent written and verbal communication, organizational, problem-solving, project-management, and time-management skills, with the ability to manage multiple priorities and deadlines.
• Experience with Salesforce, CRM, donor database, event management, or other relationship management platforms preferred, with the ability to use data and technology to inform decisions and improve engagement.
