Job Description - Analyst, Parts Level 1

Arista Air Conditioning, LLC is seeking a skilled individual for our Parts Analyst position for our Long Island, NY location. The Parts Analyst is responsible for analyzing and executing service parts inventory procurement and deployment strategies to support business sales plans and meet business inventory goals. Uses data, analytics, and effective customer/vendor communication skills to meet company inventory stocking policies. Uses technology, systems, and problem-solving skills to execute strategy in a dynamic environment. Maintains, and communicates statistical data on the tracking of sales and inventory.

Essential Duties and Responsibilities: 



  • Maintain effective communication and working relationships with Sales and Service operations.

  • Source vendors and negotiate competitive pricing for products and services.

  • Issue, review, and verify purchase orders for accuracy.

  • Evaluate vendor performance and identify preferred suppliers.

  • Monitor order status and follow up to ensure timely delivery.

  • Resolve discrepancies related to pricing, quantities, or product availability.

  • Negotiate cost reductions for large‑volume purchases.

  • Communicate anticipated product shortages or back orders to Sales and Service operations.

  • Address and escalate vendor quality control or production issues when needed.

  • Label incoming parts from technicians and obtain required quotes.

  • Manage and maintain employee expense reports, ensuring accuracy and timely submission.

  • Use UKG to manage daily time‑punch accuracy, including clock‑in/ lunch/ clock‑out monitoring.

  • Navigate, interpret, and update Excel spreadsheets as needed for purchasing, inventory, or administrative tracking.

  • Restock shelves and maintain organized inventory storage areas.

  • Perform administrative duties associated with purchasing, inventory, and service operations.

  • Navigate and maintain paperless document workflows to ensure proper documentation and recordkeeping.

  • Assist the Service Coordination team in expediting parts to support daily revenue planning.

  • Conduct audits on listed parts and verify stock accuracy.

  • Work additional hours as needed.

  • Support special projects as assigned.


Knowledge & Skills:


• Strong vendor management and relationship building skills including negotiation and influencing skills


• Effective written and verbal communication skills


• Strong MS Office skills – Outlook, Word, Excel & PowerPoint – ability to work with spreadsheets, import/extract data, generate pivot tables, charts and graphs


• High level of attention to detail and accuracy, analytical skills – data analysis to identify trends and strong problem solving skills


• Effective organizational and time management skills including prioritization skills


• Ability to work independently on multiple tasks and projects ensuring on-time completion of work that is of high quality standards


• Solid collaboration skills; effectively work with internal and cross-functional teams


• Ability to apply good judgement, decision making skills and strong work ethics and integrity on the job 


• Knowledge of supply chain / operations research, practices/procedures preferred but not necessary


Reports To: Manager, Parts


Compensation: Compensation will be based on commission; not a pay range.
