Art Collection Registrar - JLL
What this job involves:
JLL is seeking an Art Collection Registrar to manage Capital One's corporate art collection in Richmond, VA. This role combines museum-quality collection management with data systems expertise to maintain comprehensive documentation, oversee artwork logistics, and support workplace integration of Capital One's art program. Working as part of a collaborative art management team, the ideal candidate brings both registrarial training and strong technical skills to ensure collection integrity and operational excellence.
What your day-to-day will look like:
Database Management and Documentation
Manages and maintains a museum-standard collections management database, ensuring accurate cataloging of all collection objects
Records all collection activity including acquisitions, loans, installations, deinstallations, condition assessments, and valuations
Refines custom database fields and functionality to support collection-specific tracking needs
Maintains comprehensive documentation of artwork location, provenance, condition history, and financial records
Generates reports for stakeholders including collection summaries, valuation updates, and monthly operational metrics
Ensures data integrity through regular audits and quality control procedures
Collaborates with client IT team on database coding and maintenance requirements
Develops bulk data upload processes using dynamic coded macros and structured spreadsheets
Produces system-generated reports from the collection database for team distribution
Art Collection Policy and Procedures Development
Creates and implements operational guidelines for artwork handling, storage, and conservation
Develops acquisition and deaccession policies aligned with Capital One's corporate objectives and museum best practices
Establishes standardized procedures for artwork movement, installation, and maintenance
Documents workflows that integrate seamlessly with Facilities Management and Workplace Experience teams
Authors training materials and protocols for staff and vendors handling artwork
Collection Registration and Inventory Management
Conducts regular physical inventories to verify artwork locations and conditions
Maintains accurate location tracking as artwork moves between storage, workspaces, and temporary installations
Catalogs new acquisitions with detailed object records including artist information, materials, dimensions, and provenance
Manages artwork accessioning and deaccessioning processes in compliance with established policies
Coordinates artwork tagging, labeling, and identification systems
Appraisal and Valuation Coordination
Coordinates appraisal activities with third-party vendors, providing collection data and documentation
Archives appraisal records and ensures all valuations are current in collection database
Supports insurance documentation by providing valuation reports and condition information
Tracks artwork values for financial reporting and asset management purposes
Vendor Management and Logistics
Serves as point of contact for third-party vendors including art handlers, installers, conservators, framers, and appraisers
Manages relationships with art transportation and storage companies
Oversees packing, crating, and shipping of artwork for loans, exhibitions, or relocations
Establishes vendor protocols to ensure conservation-minded handling standards
Storage and Asset Management
Manages onsite and offsite storage facilities, ensuring proper environmental conditions and security in collaboration with local team members who oversee art activity at these locations
Ensures vendor compliance with procedures for packing and protecting stored artwork using museum-quality archival materials
Catalogs objects to specific storage locations with clear identification systems
Implements inventory schedules and maintains organized, accessible storage arrangements
Identifies candidates for deaccession based on condition, relevance, and collection goals
Workplace Art Integration and Curation
Supports team efforts for workplace art installations by auditing existing displays
Researches artist information to create interpretive materials and didactic labels
Collaborates with Workplace Experience teams on art placement that enhances physical environments
Conservation and Condition Reporting
Conducts condition assessments of artwork to identify conservation needs
Documents existing damage, restoration history, and ongoing preservation concerns
Leads search efforts for missing objects and maintains comprehensive reporting
Coordinates conservation treatments with qualified conservators
Maintains ongoing condition monitoring practices to ensure collection preservation
Ensures proper environmental controls in storage and display locations
Compliance and Rights Management
Ensures copyright compliance for publicly displayed artwork
Documents and manages files related to image use license agreements with artists or estates when required
Maintains documentation of artist permissions and reproduction rights
Required Qualifications
Bachelor's degree in Art History, Museum Studies, Arts Administration, or related field
5+ years of professional experience as a museum registrar or corporate art collection manager
Demonstrated expertise in collections management systems (TMS, PastPerfect, Collective Access, ArtLogic, or similar museum-standard databases)
Proven experience managing collections of 1,000+ objects with responsibility for database maintenance and documentation
Strong knowledge of conservation principles, proper artwork handling techniques, and museum-quality storage protocols
Understanding of appraisal standards (USPAP), insurance requirements, and fine art valuation practices
Vendor management experience including coordination of art handlers, conservators, installers, and specialized service providers
Excellent project management and organizational skills with ability to manage multiple priorities
Strong written and verbal communication skills with ability to interact effectively across all organizational levels
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
Ability to lift and move artwork weighing up to 50 lbs using proper handling techniques
Valid driver's license and ability to travel occasionally to offsite storage locations
Preferred Qualifications
Master's degree in Museum Studies, Art History, Arts Administration, or related field
Advanced Excel skills including pivot tables, VLOOKUP, data analysis, and dashboard creation
Experience with database customization, SQL queries, or scripting/coding for data management
7+ years of registrarial experience in museum or corporate collection settings
Experience implementing or migrating collections management databases
Demonstrated success developing collection policies, procedures, and compliance frameworks
Experience working within corporate facilities management or integrated service delivery models
Familiarity with multi-site collection management operations
Background in art curation or workplace art programming
Professional affiliations with organizations such as American Alliance of Museums (AAM) or Association of Registrars and Collections Specialists (ARCS)
Knowledge of copyright law and artist rights management as applied to corporate collections
